Overview
In 1971, Yale University established Yale Health to provide health services to its facility, staff and students through a multidisciplinary health maintenance organization located on campus. Yale Health has more than 49,000 members including students, staff, faculty and their families who come from every state in the country and almost every country in the world. With over 50 years of service to the Yale community, our state-of-the-art facility at 55 Lock Street, is where our members receive most of their care from our 150+ providers. It is a 144,000 square foot medical facility with over 90 exam rooms, an Acute Care Department, a 15-bed inpatient facility with two negative pressure rooms, a diagnostic imaging suite including MR and CT scan, x-ray and ultrasound and a full-service retail pharmacy.
Reporting to the Manager of Operational and Performance Excellence, the Operational Project Manager leads cross-functional initiatives that drive operational excellence, improve patient outcomes, and support strategic goals. This role requires strong project management capabilities, critical thinking, and a high level of organization and follow-through. Success depends on the ability to influence without authority, collaborate across diverse teams, and navigate ambiguity with resilience and clarity. The ideal candidate combines analytical rigor with emotional intelligence to deliver impactful results. Responsibilities include:
Project Planning and Execution:
- Develop comprehensive project plans, including scope, timelines, milestones, and resource allocation.
- Lead execution across clinical and administrative teams, ensuring deliverables meet quality, regulatory, and operational standards.
- Adjust plans dynamically in response to shifting priorities, emerging data, or organizational needs.
Team Management and Collaboration:
- Coordinate with internal teams and external vendors and stakeholders to ensure effective communication and collaboration.
- Assign tasks and responsibilities to team members and ensure they are aware of their roles and deadlines.
- Lead effective meetings to track progress, resolve issues, maintain momentum, and ensure alignment among team members.
Performance Monitoring and Reporting:
- Establish performance metrics and KPIs to measure project success. Analyze data to assess performance and inform strategic adjustments.
- Provide regular status updates and reports to senior management and stakeholders. Report and present project work and findings regularly.
- Conduct post-project evaluations to capture lessons learned and drive continuous improvement.
Strategic Influence and Relationship Management:
- Influence outcomes without direct authority by building trust and credibility across diverse teams.
- Navigate resistance with resilience and tact, maintaining focus on long-term goals.
- Engage effectively with staff at all levels of the organization.
Analytical and Organizational Excellence:
- Apply critical thinking and data analysis to guide project decisions.
- Maintain meticulous attention to detail across documentation, reporting, and execution.
- Demonstrate strong organizational skills, managing competing priorities and deadlines.

Risk Management:
- Proactively identify and address potential project risks. Respond to issues with agility, ensuring minimal impact on outcomes and timelines.
Resource Management:
- Allocate resources effectively to optimize project efficiency and productivity.
- Track project expenses and provide regular financial reports to stakeholders.
Required Skills and Abilities:
Demonstrated ability to lead operationally focused projects, driving measurable outcomes and aligning with strategic goals.
Strong project management skills, with a proven track record of managing multiple complex initiatives simultaneously.
Excellent organizational and time management skills, with a high level of attention to detail and consistent follow-through.
Proficient in project management software and data management tools (e.g., MS Office, Visio, MicroStrategy); comfortable analyzing data to inform decisions and measure performance.
Strong leadership and team management abilities, including the ability to coach, delegate, and motivate diverse teams.
Excellent communication and interpersonal skills, with the ability to tailor messaging to various audiences and build trust across disciplines.
Advanced problem-solving and critical thinking skills, applying sound judgment and data-driven analysis to navigate ambiguity and resolve challenges.
Ability to work independently and collaborate positively and effectively across disciplines, including with staff at all levels of the organization.
Demonstrated ability to lead, influence, and coach teams without direct authority, using emotional intelligence and strategic relationship-building.
Preferred Skills and Abilities
Bachelor's degree in business administration, Project Management or a related field. Minimum of 2 years of experience in project management, with a focus on operations.
Principal Responsibilities
- Manages special projects ranging from academic to financial from inception to completion, which requires quantitative analysis, independent research, and the proposal of resolutions or conclusions. Creates and envisions programmatic initiatives and communication strategies. 2. Designs and develops communications strategies for special projects. Develops and exercises a keen understanding of the multiple audiences and contributing University offices involved in a given project to ensure that individual communications are rolled out within a structure planned in advance and with appropriate communication among key stakeholders. 3. Envisions, creates and authors a wide variety of sensitive and high-level written materials. Serves as coordinator and executor for a range of internal and external committees. May participate in decisions regarding committee work. Advises panelists on precedents and prior actions. 4. Serves as Secretary for committee(s), manages informal and formal resolution processes and voluminous correspondence. 5. May supervise the work of project coordinator and administrative staff. 6. Serves as liaison to other departments on all communications. 7. Contributes to design, organization, and maintenance of department website. 8. May perform other duties as assigned. Required Education and Experience Bachelor's Degree in a related field and four years of related work experience or an equivalent combination of education and experience.
