The Society of St. Andrew is an established 501(c)(3) nonprofit organization with national reach and a $4.2 million annual operating budget, focused on recovering food from farms and sharing it with hungry families in communities across the country. The Volunteer Communication Coordinator will connect interested individuals and groups with SoSA's volunteer opportunities through excellent personal customer service and through the volunteer database system. The Volunteer Communication Coordinator will train and support staff in the use of the database and monitor and encourage compliance in its use, with the goal of increasing the number of volunteers overall and increasing volunteers' sense of connection with and commitment to the mission of the Society of St. Andrew.

Specific Duties and Responsibilities

Database Administration/Problem Solving

  1. Become the staff expert on Mobilize/EveryAction volunteer and event management systems.
  2. Train SoSA staff on the use and benefits of the system. Hold feature-specific training in group or one-on-one settings as needed.
  3. Monitor compliance in Mobilize/EveryAction. Verify and clean data as needed.
  4. Work closely with all Regional Program Coordinators to increase Mobilize/EveryAction use and functionality, including but not limited to creating events, maintaining regionally specific lists of contacts, and developing a volunteer channel that invites volunteers deeper into SoSA's programs.
  5. Address Mobilize/EveryAction questions raised by other staff members, as needed.
  6. Work with EveryAction/Bonterra staff to address software concerns and implement new features to meet SoSA needs.
  7. Work with the Development Director to regularize the transfer of data from EveryAction to DonorPerfect (and vice versa), encouraging and assisting as needed in their creation of a volunteer stewardship plan that invites volunteers to become donors.

Customer Service/Communication

  1. Be the first point of contact for new volunteers, farmers, and partner agencies who contact SoSA from states without Regional Offices. Respond in a timely way to all telephone, social media, and email inquiries. Gauge the interest level of these contacts and plug them into appropriate programs (PPP, Seed Project, HRA development, etc).
  2. Refer potential volunteers to (A) the Mobilize system to register as volunteers and (B) to the appropriate program coordinator or other staff contact.
  3. Set up and update auto-response email programs for those who have registered as volunteers and for those who serve.
  4. Assist Program Coordinators with entering new volunteers into the Mobilize system from regionally-generated event lists and with post-gleaning thank you emails. Enter and thank volunteers at national events without a program coordinator.
  5. Assist the Operations Director in providing support for HRAs (Hunger Relief Advocates)
  6. Set a schedule for regular email follow-up with registered volunteers who have not served.
  7. Oversee annual thank-you emails or letters to all volunteers and a recognition program for those who have volunteered regularly.
  8. Work with the Operations Director and Program Coordinators to establish an upgraded communication series that invites regular volunteers to be trained as lead volunteers, field supervisors, or Satellite Coordinator/HRA candidates.
  9. Highlight and advertise various volunteer roles within the organization beyond field gleaning, both regionally and nationally.

Marketing

  1. Incorporate volunteer communications into national marketing plans, including the editorial calendar.
  2. Support regional staff in highlighting volunteer engagement.
  3. Support the Communication Director in national publications like the quarterly newsletter, blog posts, and the annual report, highlighting individual volunteers and groups of volunteers regularly.
  4. Analyze data to gain and regularly share information with the Marketing & Communications Director and the leadership team about volunteer retention and donor/volunteer crossover.

Other

Successful education and employment records and reference checks will be required prior to any job offer being extended. A national criminal background check (at SoSA's expense and initiation) will be required upon hire. Employment with the Society of St. Andrew is at-will.

Work Hours and Conditions

This position will be based in any existing SoSA Regional Office if filled by a current SoSA staffer. If filled by a new employee, a strong preference will be given to a candidate able to work from the Big Island, VA, or the Durham, NC office. Regular office hours are Monday through Friday, 8:00 am – 4:00 pm or 8:30 am – 4:30 pm. Night and weekend work are not anticipated for this position. Travel is expected 2-3 times per year to assist with gleaning events or to meet with the Marketing and Communications Team. All necessary office equipment, furnishings, and supplies will be provided.

Benefits

After 60 days, this position is eligible for Health, Dental, and Vision Insurance coverage. SoSA pays 80% of individual or family premiums for the lowest cost of several available health care options and provides assistance toward medical expenses through a contribution to a Health Savings Account for the employee. Short- and long-term disability coverage is provided at no cost to the employee.

In January or July, after one full year of employment, this position is eligible for 401K enrollment. SoSA puts in 5% of salary and matches up to an additional 4% employee contribution.

Sick leave and vacation accrue from the first day of employment at a rate of 8 hours per month each. There are 11 paid holidays annually.
