Short DescriptionThe CCA Practice Ops Manager will serve as a key resource for CCA operations for the practice. This position must have working knowledge of Ambulatory Administrative and Clinical Operations. Supervise and manage staff, including hiring, training, scheduling, and performance evaluation. Oversee daily operations of the practice, including managing patient flow, scheduling appointments, and managing inventory. Develop and implement policies and procedures to ensure efficient and effective practice operations. Collaborate with the CCA Practice Medical Director to ensure quality metrics and goals are successfully met. Minimum 3+ years of management experience with a strong and extensive background in building strong relationships and managing teams with staff at multiple levels. Proven success in managing programs, fiscal, and employee HR matters, statement of operations, budgets to ensure the success of operations. Working knowledge of regulatory compliances in an ambulatory setting with a strong understanding of HIPAA and business practices. Must display excellent written, organizational, and verbal communication skills. This individual will have direct responsibility for the facility/practice and work closely with the Director of Clinical Practice and Regulatory Compliance along with the Asst Director of Quality & Safety for Cooper Care Alliance. Responsible for overseeing all administrative and business operation aspects of a private medical or wellness practice. Their duties include hiring employees, ensuring compliance with regulations, and managing the budget of the practice. Excellent analytical, problem-solving, and multitasking skills. Computer literacy and knowledge of relevant health care and administrative software. Good leadership, motivation, training, and goal-setting skills with an understanding of P&L's and operation statements. In-depth knowledge of health care finances, best practices and standards. Great organization and time management skills with the understanding of health and safety standards in the medical industry. Must have the ability to establish and implement effective workplace procedures and ensure policies are followed. Excellent communication, interpersonal, and presentation skills. Must be detailed oriented and able to perform in a fast-paced environment. Strong analytical thinking and problem-solving skills with proficiency in strong computer (EHR) and IT system capabilities i.e. Microsoft Office, Excel, Word, PowerPoint
Set strategic goals with sound analysis and projections for business successReview and renew, or establish standard operating procedures for organizational operations, including legal and regulatory compliance.Establish and implement effective workplace proceduresEnsure policies and best practices are up to industry standards and government regulationsOversee and provide direct oversight of PSRs, MAs and clinical operations
Hire, train and monitor administrative operationsMonitor the inventory for medications and medical equipment and organize for resupply.Interact with patients and address their complaintsCoordinate regular staff meetings and performance reviewsCollaborate with physicians to develop business strategies and patient servicesExcellent analytical and problem-solving skillsUnderstanding of health and safety standards in the medical industryGood understanding of regulatory, human relations and HIPAA Must have knowledge and the ability to complete Kronos payroll, PTO, staffing schedules and evaluationsMust have knowledge of P&L's, budgets and business operations Perform data reporting for CCA and ensure all departmental goals are met.Collaborate with CCA Practice Medical Director to ensure quality, patient access metrics and administrative stats are met.All other duties as assigned
Experience Required3+ years' experience in management and operations in Ambulatory Care setting
