Position Summary
The Program Coordinator, under the supervision of the USDA/FDPIR Program Director, is responsible to provide coordination of administrative and operational support across all components of the FDPIR USDA Program to include but not limited to Grant Management, Automated Inventory System, Certification, Warehouse, Office Support, Nutritional guidance and Food Preparation.
ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)
- Primary function will be Nutritional guidance and Food Preparation
- Participates in on the job training sessions that provide information needed to teach clients about nutrition, meal planning, food preparation, food storage, sanitation, physical activity, and available community resources.
- Maintains required program activity records and reports.
- Coordinates and performs individual and group learning experiences for clients with the ultimate goal of self-confidence in preparing nutritious, home cooked, time efficient meals made with commodity foods.
- Maintains an extensive knowledge of available community resources and refers clients to appropriate agencies or gives clients the tools to use the reference.
- Meets and greets program clients to assist them with the process and/or referring them to the appropriate team members and departments.
- Helps clients with application process for program eligibility.
- Enters client data into USDA/A.I.S. computer system files.
- Collects and inputs data into the AIS (Automated Inventory System).
- Performs a wide variety of tasks related to program coordination to include but not limited to inventory, stock, and tailgate distribution, tracking expired applications and data entry.
- Assists with all warehouse functions and delivery as needed on a day-to-day basis.
- Assists clients with coordinating and developing a shopping list in the Automatic Inventory System.
- Takes daily temperatures of freezers and coolers and documents in log book.
- Performs home deliveries to elders and homebound clients.
ADDITIONAL RESPONSIBILITIES: (includes, but is not limited to, the following)
- Maintains strict confidentiality standards.
- Coordinates time and schedules individual and group contacts in relation to the USDA Food Distribution Programs schedule.
- All other job-related duties as assigned.
CONTACTS
Tribal members and families, Tribal employees, immediate peers, peers in other departments, immediate supervisor/manager, customers, outside vendor/service providers and Department of Human Services representatives.
Physical Requirements
Position medium with lifting of 50 pounds maximum and frequent lifting/carrying up to 25 pounds. Physical factors include constant use of hearing; frequent standing, sitting, use of near/midrange/far vision, depth perception, driving, typing; occasional walking, reaching, manual handling and bending. Working conditions include occasional exposure to weather, extreme heat/cold, wet/humidity and noise. Potential hazards include constant client contact, computer use and occasional equipment use.
Requirements
Education: High School diploma or equivalent required.
Experience: Minimum two years administrative experience in program and/or project coordination required.
A minimum of two years of experience working in the Food Commodities, USDA/FDPIR Program preferred.
Certification/License: Must have a valid driver's license and be insurable by the Sault Tribe Insurance Department. Must comply with annual driver's license review and insurability standards with the Sault Tribe Insurance Department. Must comply with the Sault Tribe's Drug-Free Workplace Policy which may include random drug tests.
Knowledge, Skills and Abilities: Knowledge of word processing and spreadsheet, data base including inventory data base software required. Must be able to learn to use inventory data base software. Must be able to learn and understand the USDA FDPIR 501 handbook. Knowledge of Tribal communities in a 15-county service area preferred. Must be able to establish and maintain an effective working relationship with supervisory personnel, coworkers, clients and the general public. Must have excellent public relation and customer service skills and be able to exhibit a friendly positive attitude. Must be able to gather and analyze information. Must be able to work under pressure and handle difficult situations. Must be able to communicate effectively both orally and in writing. Must be able to plan, prioritize and manage work load to meet goals in a timely manner. Must maintain confidentiality. Native American preferred.
