Project Administrator – Job Description

Position Summary The Project Administrator provides comprehensive administrative support to the Development Project Team, ensuring the efficient coordination of documents, communication, and processes across all phases of construction and development projects. This role requires strong organizational skills, attention to detail, and the ability to manage multiple workflow streams in a fast-paced environment.

Key Responsibilities

  • Provide general administrative assistance to the development project team.
  • Serve as a primary liaison with third-party General Contractors regarding contracts, change orders, and pay applications.
  • Maintain a thorough understanding of project process flow to ensure information provided to estimators and project management is complete, accurate, and well organized.
  • Assemble, prepare, and coordinate all required contract documents in collaboration with the project management team.
  • Process monthly pay applications submitted by third-party General Contractors.
  • Process and route consultant invoices, including architects, engineers, and other professional services.
  • Obtain, verify, and track all required compliance documentation (e.g., insurance certificates, preliminary notices, lien waivers).
  • Oversee document control, including document logging, tracking, organization, and distribution.
  • Manage and compile project close-out documentation to ensure timely and complete delivery.

Qualifications

  • Experience in construction administration, project coordination, or related field preferred.
  • Strong communication and interpersonal skills.
  • Proficient with document management systems and standard office software.
  • Highly organized with exceptional attention to detail.
  • Ability to work independently and collaboratively in a deadline-driven environment.
