Front Office Duties

· Warm personality in charge of welcoming patients and serving as the primary point of contact

· Checking patients in and out

· Collecting and preparing patient paperwork (new patient packets, preop packets, consents, post op instructions)

· Organizing, faxing and scanning documents (op reports, booking sheets, scanning implant info into patient chart)

· Collecting payments

· Requesting medical records – For any revision consultation

· General knowledge of skin care procedures and products

· Keeping up to date with any event or promotion going on

· Social media posts

Telephone Duties

· Answering all incoming calls

· Scheduling appointments/surgeries/clinic procedures

· Coordinating/verifying surgery schedule

· Daily appointment reminder calls and texts

· Daily lead follow-ups via call/text/email

Administrative & Office Duties

· Opening and closing the office

· Responding to patient inquiries and leads via Outlook and Podium

· Serving as a chaperone during appointments as needed

· Rooming and turning over patient rooms

· Taking, uploading and printing photographs for surgery

· Preparing and organizing pre-operative paperwork and orders

· Composing patient letters (post consult letters, event flyers, return to work letters, excuse from work, FMLA)

· Utilizing computers and EMR software

· Biohazard Waste Management

· Order implants/ injectables as needed

· Scheduling pickup to send specimen to pathology

· Uploading photos to Mirror software

· Keeping up with Lead management

· Make sure waiting area is always picked up and organized; water stocked in fridge; cookies

· Upload before and after photos to the website (checking photo consent first)

· Updating events page on website

· Manage Evolysse points rewards

· Put together event flyers, donation/auction certificates

· Billing in Symplast and PatientFi

Marketing

· Manage Facebook and Instagram content for clinic and MedSpa

· Keep up with Specials and Events on website

· Networking with local businesses

Knowledge and Skills:

· Prior medical office experience preferred

· Biohazard Waste Management

· Experience with Microsoft programs, EMR software and data entry

· Good business office organizational skills

· Excellent verbal and written communication skills

· Ability to work well independently and with others in a team environment

· Ability to adapt to change

Job Type: Full-time

Pay: From $40,000.00 per year
