Key Responsibilities:

  • Assist the Purchasing Department with daily procurement activities.
  • Process purchase orders, requisitions, and vendor invoices accurately and efficiently.
  • Maintain and update vendor files, databases, contracts, and price lists.
  • Communicate with vendors and internal teams to ensure correct specifications, confirm order status, on-time delivery timelines, and resolve discrepancies.
  • Monitor inventory levels and assist in replenishment of materials and supplies to avoid shortages, overstock or obsolete materials.
  • Support cost-saving initiatives by comparing pricing, negotiating terms, and evaluating suppliers.
  • Generate and maintain purchasing reports and documentation on spending, pending orders, vendor performance and inventory metrics for compliance and audits.
  • Collaborate with receiving, operations, and accounting departments to align purchasing needs with company objectives.
  • Ensure adherence to company policies, safety standards, and quality requirements.
  • Perform other duties as assigned to support the purchasing/supply chain department.

Qualifications and Skills:

  • High School diploma required, associate's degree or coursework in business, supply chain, procurement or related field preferred.
  • Work Experience: 1-3 years of experience in purchasing, procurement, inventory or administrative support role in a related environment (manufacturing, industrial services, etc.)
  • Proficiency with Microsoft Office (Excel, Word, Outlook); experience with purchasing software or ERP systems preferred.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills to work effectively with vendors and cross-functional teams.
  • Basic math skills to calculate pricing, discounts, freight, etc.
  • Ability to prioritize competing tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills and a proactive mindset.
