The Payroll Specialist is responsible for processing and managing employee payroll, time, and attendance. This position will routinely exercise independent judgment and decision-making skills, establish your own work priorities, and implement operational policies set by the company. He will be the one who calculates the salaries according to the hours you work and who manages the payments to the employees. A payroll specialist is able to handle payroll programs correctly and efficiently and has excellent communication skills to interact with employees and executives in order to ensure that the compensation received is correct and punctual.

DUTIES AND RESPONSIBILITIES

Payroll:

  • Manages the end-to-end payroll process, including data entry, calculation of wages, and processing of payments.
  • Reconciles payroll accounts and resolves any discrepancies.
  • Collaborates with the Human Resources Hub to ensure accurate employee data and proper onboarding/offboarding procedure.
  • Prepares and distributes payroll reports to management.
  • Maintains accurate records of employee earnings, deductions, and hours worked.
  • Assists with year-end payroll activities, including W-2 preparation and reporting.
  • Stays up to date with changes in payroll laws and regulations.
  • Performs other related duties as assigned.
  • Maintains license rollup database
  • Maintains updated payroll database in Finance System

KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong knowledge of human resources and payroll management principles.
  • Proficiency in using purchasing and payroll software.
  • Excellent attention to detail and accuracy in data entry and calculations.
  • Ability to reconcile accounts and resolve discrepancies.
  • Familiarity with general ledger accounting principles.
  • Knowledge of federal, state, and local tax regulations related to payroll.
  • Strong analytical and problem-solving skills.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Understanding and working knowledge of MS Office to include Excel, Word, and Outlook.

EDUCATION AND EXPERIENCE

Bachelor's degree in business administration or a similar field preferred. 3-5 years of experience in an administrative support environment. Working knowledge of payroll processing required. Equivalent combinations of education and experience will be considered.

GENERAL REQUIREMENTS AND PREFERRED SKILLS

Excellent oral and written communication skills. Bilingual: English and Spanish. Highly organized. Results-oriented and synthesis skills. Ability to interpret graphs with percentages and mathematical values. Ability to operate PC-based software including Payroll Systems, Quickbooks, Sage, MS Word, Access, Excel, PowerPoint. Proficiency in using Payroll Systems- preferible ADP.

WORKING CONDITIONS/PHYSICAL DEMANDS

General office conditions (example: noise from computers, printers, constant traffic of people, among others). Position requires sitting or standing for most of the workday, manual dexterity to operate a personal computer, short periods of moderate lifting, pushing, or pulling objects up to twenty pounds, clear diction, and acute hearing for effective communication with the staff and public. Work shifts may require more than 8 hours, or schedules including some weeknights, weekends, and holidays.

SALARY AND BENEFITS

Salary and benefits will be negotiated based on qualifications, experience, according to the law and what the company provides at the time of hire.
