Position: Receptionist-Certified Medical Assistant
Supervision: Reports to Clinic Practice Manager
Status: Full-Time
Classification: Hourly (Non-Exempt)
Pay Rate/Range: Minimum Base Wage Rate $18.00/hour, with multi-lingual premium
Benefits Offered: After employed for 90 consecutive calendar days, eligible for paid Sick Time, as well as participation in the Group Health, Dental, and Vision and 403(b) Plans (with a Company match on the 403(b) Plan contribution after 24 months). After employed for six (6) months, eligible for paid Vacation Time.
POSITION PURPOSE:
The Receptionist-Certified Medical Assistant is a Full-Time (minimum 37.5 hour work week) position, with any overtime requiring pre-approval by management, that works closely with the clinical and administrative teams and plays a key role in office operations by successfully performing various administrative and clerical tasks, along with Medical Assistant duties, as needed. This position requires an individual who is a Certified Medical Assistant with excellent customer service and organizational skills, multi-tasking agility, and a desire to work with a broad patient demographic, including those living with HIV/AIDS and Hepatitis C.
ESSENTIAL FUNCTIONS:
● Serves patients by greeting them warmly, comforting them, anticipating their anxieties, answering questions, referring inquiries, and maintaining a comfortable reception area.
● Schedules appointments, scans important documents into patients' charts, and maintains accurate records through the Electronic Health Record (EHR).
● Optimizes patients' satisfaction, clinical staff time, and treatment room utilization by monitoring the schedule, keeping check-in and check-out times, notifying clinical staff of patients' arrival, reviews service delivery compared to schedule (reminding clinical staff of service delays), and assisting clinical staff effectively and efficiently.
● Monitors patient messaging portal, responds in a timely manner to all incoming messages, and tags staff members with messages requiring a response.
● Maintains patient accounts by recording and updating personal and/or financial information.
● Secures copies of patient's driver's license and health insurance card for their file and may also collect copays/coinsurance payments.
● Protects patients' rights by maintaining confidentiality of medical, personal, and financial information by following HIPAA guidelines.
● Promotes and practices Harmony Healthcare Orlando's (HHO's) mission and values, and follows its policies, processes, and procedures.
● Works effectively and professionally with a diverse population treating all clinical staff and patients with the utmost respect at all times.
● Participates in all required training and certifications including, but not limited to: HIPAA, Biohazardous Waste, CPR/BLS, 500/501 Rapid HIV testing, and Rapid HCV testing.
● Performs rapid HIV and HCV testing (when needed) and helps to ensure all documentation is scanned and stored according to Florida Department of Health guidelines.
● Attends and assists patients and clinical staff during community outreach testing events. May be required to attend community outreach events such as GayDayS, Pride Events, etc. Advance notification of dates/times will be given to allow for proper scheduling. On these dates, schedules may be modified to ensure employees don't exceed budgeted hours.
● If needed, may also be called upon to perform the following Certified Medical Assistant duties:
o Checks patient medical records for pertinent data and enters in patient information using the Electronic Health Record (EHR) system used by the clinic.
o Responsible for escorting patients to exam rooms and managing triage of patients.
o Must be able to communicate professionally with patients and clinical staff.
o Obtains past medical history as well as initial information vital signs such as temperature, pulse, blood pressure, respiration, height, weight, and BMI.
o Documents patients' chief complaints; notifying clinical staff of unusual symptoms or complaints.
o Assists clinical staff in maintaining an effective and efficient workflow.
o Assists in telephone follow-up with the patient (as directed by clinical staff), scheduling appointments, reviewing test results, filing, chart documentation, checking voicemail messages, returning calls, and general administrative duties, as required.
o Assists with basic patient health education.
o Maintains cleanliness and equipment condition in exam rooms and clinic work area(s).
o Maintains supplies; keeping areas properly stocked and ensuring medical supplies are not outdated.
o Performs spirometry; EKG; point of care testing phlebotomy services, as directed; and any additional assistance required by clinical staff.
o Administers injections and immunizations for patients ordered by clinical staff.
o Reports unusual occurrences that may involve the safety as well as well-being of the patients and/or co-workers.
CORE DUTIES AND RESPONSIBILITIES
● Patient Intake, Scheduling and Tracking.
● Medical Record Administration and Confidentiality.
● Attend community outreach events and work closely with outreach staff.
● Payment processing and portal updates.
● Perform Rapid HIV and HCV testing, as needed, after completion of training program.
● Regular, dependable attendance and consistent satisfactory or above job performance.
● Other duties, as assigned, including but not limited to those required of a Certified Medical Assistant.
EXPERIENCE AND MINIMUM QUALIFICATIONS (Preferred unless indicated as a Requirement)
● Vaccinations and immunizations recommended for healthcare workers by the Florida Department of Health, including; COVID-19 vaccination and Mpox vaccination. (May be Required)
● English oral and written proficiency. (Required)
● Proficiency with Microsoft Office products (Word, Excel, PowerPoint, Teams, etc.).
● Proficiency of other languages welcomed (particularly Spanish and Creole).
● Demonstrated experience successfully prioritizing and managing multiple projects.
● Demonstrated ability to determine daily work priorities and organize workflow in an efficient manner, while maintaining attention to detail.
● Previous front desk/receptionist/administrative experience, including successfully handling multiple phone lines/calls.
● Experience with Apple products and apps.
CERTIFICATIONS, LICENSES AND REGISTRATIONS (Preferred unless indicated as a Requirement)
● High School Diploma or GED. Comparable experience may be accepted in lieu of education.
● Valid FL Driver's License and access to reliable transportation (with current vehicle registration and insurance). (Required)
● Use of public transportation to events and other locations may be an option as long as work schedule requirements are met.
● Licensed Medical Assistant Certificate (Required) This position requires graduation from an accredited Medical Assisting program, successful completion of a practicum (on-site work experience) and passing a certification exam from a certifying body such as the AAMA, AMT, NCCT, or NHA.

This position is generally performed in a professional office setting; 70% sitting, 20% standing, and 10% walking.
● This position routinely utilizes standard office equipment such as laptops, computers, phones, photocopiers, and filing cabinets.
● Ability to lift/move up to 30 pounds.
● Occasional travel to participate in community outreach events may be required, including GayDayS, Pride Events, community testing events, etc.
● Travel may also be required to other locations, when needed.
