We're building a scalable, systems-driven company with clear SOPs, strong client experience, and consistent execution. This role is a key step in building an internal marketing engine and reducing reliance on outside vendors.

Position Overview

The Project Coordinator (PC) is a critical production role responsible for supporting day-to-day construction project execution through documentation, scheduling coordination, and jobsite organization. This role serves as the operational backbone of active projects, ensuring accurate information flow between the field, office, trade partners, and clients.

Purpose of This Role


• Maintain daily momentum on active projects


• Ensure project documentation is complete, accurate, and current


• Reduce operational bottlenecks and prevent missed details


• Improve communication between field, office, and clients

Core ResponsibilitiesProject Documentation & Systems Management


• Maintain complete and accurate Buildertrend records for assigned projects


• Create and update Daily Logs, photo documentation, task assignments, and inspection records


• Ensure drawings, selections, scopes, permits, and approvals are uploaded and current


• Document verbal decisions in writing


• Maintain organized digital project files

Schedule Coordination & Task Management


• Maintain and update project schedules in Buildertrend


• Coordinate sequencing with trade partners under leadership direction


• Track inspections, deliveries, and key milestones


• Identify schedule risks early and communicate proactively


• Adjust task-level scheduling to keep projects moving

Jobsite Presence & Field Coordination


• Visit active job sites 3-5 days a week based on project needs


• Verify materials delivered match orders and quantities


• Confirm site readiness for scheduled work


• Act as DSC's daily on-site contact


• Observe work for quality and document issues (without directing trade means and methods)

Trade Partner & Vendor Support


• Coordinate access, scheduling windows, and logistics for trade partners


• Route scope or technical questions to leadership when required


• Track material lead times and delivery status


• Document trade partner questions and responses

Client Communication & Experience


• Maintain professional, clear, and consistent communication


• Assist with weekly updates, schedule notifications, and process questions


• Ensure all client communication is documented in Buildertrend


• Escalate scope, cost, or design questions immediately


• Prepare change orders when needed and forward them to PM for dissemination


• Implement change order actions when approved by client

Punch List & Closeout Support


• Create and manage punch lists


• Assign tasks and track completion


• Verify closeout items


• Assist with final walkthrough preparation and documentation
