  • Serve as the primary operational point of contact for patients
  • Manage inbound patient requests with urgency, discretion, and clarity

  • Diagnostic reviews
  • Prescription/Supplements Refills
  • Blood Draws
  • Ensure every patient receives a highly personalized, white-glove experience
  • Anticipate patient needs proactively rather than reacting to issues

Scheduling & Logistics

  • Schedule and coordinate in-home phlebotomy across multiple states and time zones
  • Manage in-home IV infusion scheduling with the patient and the medical team
  • Coordinate care timelines to ensure efficient sequencing of labs, consults, and therapies
  • Maintain real-time awareness of provider availability and patient priorities

Pharmacy & Prescription Management

  • Manage new prescriptions and refills
  • Coordinate with multiple pharmacy vendors and compounding pharmacies
  • Track prescription status, delivery timelines, and patient follow-up
  • Order supplements and medications accurately and efficiently
  • Ensure continuity of care without lapses or delays

Vendor & Partner Management

  • Manage relationships with:
  • Phlebotomists
  • IV infusion teams
  • Pharmacies
  • Other clinical vendors
  • Ensure blood draw supplies are stocked and available for all phlebotomists
  • Follow up on missed appointments, delayed results, or operational issues
  • Maintain clear documentation and accountability with vendors

Systems, Organization & Data Management

  • Manage and maintain two medical/operational systems for patient organization and scheduling - Keap (administration) and Tebra (medical)
  • Maintain clean, accurate patient records and workflows
  • Build and manage spreadsheets to track:
  • Patient status
  • Lab timelines
  • Prescriptions
  • Vendor coordination
  • Daily/monthly financials and transactions
  • Ensure nothing falls through the cracks

Business Awareness & Problem Solving

  • Read the needs of the business and patients intuitively
  • Identify inefficiencies and propose solutions
  • Handle high-stress or time-sensitive situations calmly and professionally
  • Support business continuity and operational excellence during growth

Experience & Skills

  • 5+ years in operations, concierge services, healthcare administration, or high-touch client services
  • Experience coordinating complex scheduling and logistics
  • Familiarity with healthcare, wellness, or concierge medicine is strongly preferred
  • Advanced spreadsheet and organizational skills
  • Experience managing vendors across multiple locations
  • Remote work experience strongly preferred

Job Type: Full-time

Pay: $33.00 per hour

Expected hours: 40 per week
