Job Title:
Remote Administrative Assistant
We are a dynamic and client-focused Pilates studio committed to providing exceptional instruction and fostering a supportive wellness community. We are seeking a highly organized and proactive Remote Administrative Assistant to join our team and contribute to the seamless operation of our studio.
Position Summary
The Remote Administrative Assistant will provide essential administrative, operational, and customer service support to our Pilates studio. This role requires a self-motivated individual with excellent communication and multitasking abilities, capable of working independently in a virtual environment. The ideal candidate will be detail-oriented, resourceful, and dedicated to ensuring a positive experience for our clients and instructors.
Responsibilities
- Client Services and Communication: Serve as the first point of contact for clients, responding to inquiries via phone, email, and online platforms in a timely and professional manner. Provide detailed information about class schedules, pricing, packages, and studio policies. Manage client bookings, including scheduling, confirming, canceling, and rescheduling appointments. Maintain accurate and confidential client records within our studio management software. Proactively follow up with prospective clients to convert inquiries into bookings. Address client feedback and resolve any issues with empathy and efficiency.
- Scheduling and Studio Operations:
Manage class schedules and instructor availability, optimizing studio utilization.
Coordinate private training sessions and manage any scheduling conflicts.
Send class reminders and updates to clients and instructors.
Assist with the coordination of workshops, events, and special programs.
- Administrative and Financial Support:
Manage studio communications, including email newsletters and announcements.
Maintain organized digital files and ensure efficient data management.
- Marketing and Social Media Assistance: Support marketing efforts by assisting with social media content creation and scheduling. Assist with email marketing campaigns, including creating and sending newsletters. Update and maintain the studio website with accurate information. Assist with the development of marketing materials.
Qualifications And Skills
- Proven experience (2+ years) as an Administrative Assistant or in a similar customer service role, preferably in the wellness, fitness, or service industry.
- Excellent written and verbal communication skills, with a professional and friendly demeanor.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage deadlines effectively.
- Proficiency in studio management software (e.g., Momence, Mindbody) is highly desirable.
- Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with social media platforms (Instagram, Facebook) and email marketing tools (e.g., Mailchimp) is a plus.
- Ability to work independently, take initiative, and problem-solve creatively.
- Strong attention to detail and a high degree of accuracy.
- Reliable internet access and a dedicated home office setup.
- Passion for health and wellness, particularly Pilates, is an asset.
Compensation And Benefits
- Competitive hourly rate/monthly rate, commensurate with experience. Working hours from 9am to 9pm with breaks in between
