The Business Support Specialist provides support to project teams and senior management for a wide range of administrative and project activities, including managing resources and information and assisting with scheduling and planning meetings. Specific project tasks may include assistance preparing proposals, development of timelines and budgets, coordination of staff and equipment resources, data entry/management, cost tracking, and reporting in addition to other administrative duties pertinent to senior management needs. This position requires excellent organizational, time management, and communication skills and the ability to effectively collaborate with multiple teams and remain flexible. The ideal candidate will enjoy the challenges of supporting a fast-paced office environment and be able to work independently, with minimal supervision.

ACTIVITES/TASKS/SCOPE

  • Arranges travel schedule and reservations for the assigned managers and department personnel as needed
  • Performs administrative/clerical staff in maintaining office files and records
  • Preparation of presentation materials using PowerPoint
  • Assign tasks to internal teams and assist with schedule management
  • Assist in follow through within Salesforce for all projects
  • Assist with marketing and recruiting efforts
  • Assist with proposal and budget preparation
  • Communicates and handles incoming and outgoing electronic communications
  • Compiles, copies and distributes materials
  • Coordinate with others to manage project activities, resources, equipment, and pertinent project information
  • Coordinate a variety of meetings, business dinners, client meetings, and seminars
  • Coordinate/manage invoicing and collections follow ups for projects as assigned
  • Create a project management calendar for fulfilling project goal and objectives
  • Document and follow up on important actions and decisions from meetings and distribute meeting minutes
  • Maintain office files and records
  • Manage expense report submission as needed
  • Prepares and sends deliveries
  • Provide office-wide administrative and project organizational support to the assigned manager as needed
  • Reviews and summarizes miscellaneous reports and documents
  • Travel to remote offices, project sites, and conferences
  • Performs such other duties as are assigned

KNOWLEDGE, SKILLS, & ABILITIES

  • Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner
  • Advanced proficiency computer and data management skills in a Windows-based platform with professional knowledge of Microsoft Office Suite(required); SharePoint knowledge and (preferred);
  • Knowledge of basic accounting practices (preferred)
  • Workday experience (preferred)
  • Salesforce or other CRM experience (preferred)

EDUCATION, EXPERIENCE, & CREDENTIALS

  • High School diploma or equivalent (required);
  • Associate degree or minimum 3 years of experience in the administrative field (required);
  • Bachelor's Degree (preferred)

  • Possesses excellent verbal and written communication skills in the English language
  • Possesses strong computer skills in a Windows-based environment and strong knowledge of the Microsoft Office Suite
  • Proficient with the use of computers and software programs used in finance and business
  • Reliable and self-motivated
  • Strong analytical skills, detail-oriented and exceptional organizational and multitasking abilities
  • Current driver's license (required)
