Position Overview

The Commercial Construction Project Coordinator is an essential member of our team, responsible for supporting the successful execution of commercial construction projects from inception through completion. This position requires a high level of organizational skill, meticulous attention to detail, and superior communication abilities. The Project Coordinator works closely with project managers, subcontractors, vendors, and various stakeholders to ensure deadlines are met, quality standards are maintained, and budgetary targets are achieved.

Job Duties and Responsibilities

Project Planning Support:

  • Assist project managers in the development of project plans, schedules, and budgets. This includes gathering necessary information, tracking resources, and monitoring progress throughout the lifecycle of each project.
  • Procurement Coordination:
  • Coordinate the procurement of construction materials, equipment, and subcontractors, ensuring timely delivery and compliance with all project specifications.
  • Documentation Management:
  • Work collaboratively with project managers to oversee and manage project documentation, including contracts, change orders, purchase orders, and request for information (RFI) logs.
  • Maintain regular and clear communication with project stakeholders, subcontractors, and vendors to facilitate timely and accurate information exchange.
  • Meeting and Inspection Coordination:
  • Coordinate and schedule project meetings, site visits, and inspections, making sure all required attendees and resources are prepared in advance.
  • Project Schedule and Budget Updates:
  • Consistently update project schedules, budgets, and resource allocations using project management software and tools.
  • Monitor ongoing project progress, identify potential issues or delays, and promptly communicate these to project managers for swift resolution.
  • Reporting Assistance:
  • Assist in the preparation of project reports, presentations, and other documentation as required by project managers or senior management.
  • Invoice Review Support:
  • Support the review and approval of project invoices, ensuring their accuracy and adherence to established budgetary guidelines.
  • Project Closeout Assistance:
  • Help manage the project closeout process by coordinating final inspections, compiling necessary documentation, and ensuring completion of punch-list items.
  • Stay informed about industry trends, regulations, and best practices to enhance project coordination processes and promote innovation.

Stakeholder Communication:

  • Maintain regular and clear communication with project stakeholders, subcontractors, and vendors to facilitate timely and accurate information exchange.

Qualifications
  • Bachelor's degree in construction management, engineering, or a related field is preferred.
  • Demonstrated experience as a project coordinator or a similar role within commercial construction projects.
  • Proficiency in project management software and tools, such as Microsoft Project, Primavera, or equivalent platforms.
  • Excellent organizational skills, with the ability to effectively prioritize tasks and manage multiple projects at once.
  • Strong attention to detail and effective problem-solving abilities.
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Ability to work both independently and collaboratively within a team environment.
  • Familiarity with construction project management processes, including scheduling, budgeting, and procurement.
  • Comprehensive understanding of construction drawings, contracts, and specifications.
  • Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
