General Summary
The Human Resources Specialist performs professional level human resources consulting work and fulfills responsibilities in one or more of the functional areas, such as employee relations, benefits administration, training and development, payroll processing and safety. This role conducts administrative work involving the human resources and payroll functions and maintains related records; develops and improves policies, programs, and procedures to improve the effectiveness of HR and Operations for assigned clients.
Key Responsibilities:
Benefits Administration
- Use HR software to manage employee benefits for select clients, including leaves of absence (short-term disability, long-term disability, FMLA, FAMLI, etc.), insurance coverage (medical, dental, vision, supplemental, life/AD&D, ACA reporting) and other related processes.
- Coordinate with outside vendors (benefits brokers, liability brokers, carriers, etic,).
- Assist with annual compliance audits for clients including 401K Plan and reporting of Worker's Compensation claims.
- Assist with client Health Benefits Open Enrollment and benefit enrollments for new hires and change requests.
Compliance with Employment Law
- Maintain current knowledge of labor and wage and hour laws and regulations to ensure client compliance.
- Ensure legal compliance by monitoring and implementing applicable human resource federal and state requirements and conducting reviews, as assigned.
- Assist in the creation, updating and application of client HR policies and G&G guidelines.
- Assist In annual employee handbook review processes for assigned clients.
- Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices; review policies and practices to maintain compliance.
- Maintain knowledge of trends, best practices, regulatory changes, and recent technologies in human resources, talent management, and employment law.
- Maintain the client's work structure by updating job requirements and job descriptions for all positions according to client objectives.
Development and Training
- Process documentation and prepare reports relating to performance concerns, collaborating with the client and supervisor.
- Plan new hires' onboarding strategies and perform new employee orientation to deliver an exceptional first-day experience for assigned clients.
- Coordinate employee satisfaction surveys and give actionable insights to improve employees' experience for individual clients.
Employee Relations
- Support employees when human resources issues arise with efficient problem-solving, including answering employee requests.
- Recommend and develop employee relations practices to foster a positive employer-employee relationship.
- Conduct and analyze exit interviews and make actionable recommendations based on data.
- Generate official client documents such as offer letters, employment agreements, warning letters, etc.
- Assist client's administrative staff (Business Managers, Executive Directors, HR Coordinators, and Supervisors) with employee inquiries, performance review process, coaching, counseling, and terminations.
- Negotiate conflict resolution between employees or between employees and organizational leadership.
- Assist in complaint investigations.
Payroll Support
- Work closely with the client's central office to ensure the accurate and timely processing of all payroll documents (time sheets, mileage records, expense reimbursements, etc.)
- Ensure proper coding in accordance with the Colorado CDE-18 chart of accounts.
- Perform payroll-related functions including, but not limited to processing of new hires, terminations, compensation & benefits, overtime, and withholdings.
- Resolve any payroll discrepancies or concerns.
- Enter individual credits and debits into the client's accounting system to maintain an accurate and comprehensive record of all financial transactions related to Payroll.
- Assist in month-end close including identifying necessary accruals.
- Accurately complete payroll processing and liability payments.
- Complete payroll journal entries for each payroll period and maintains the accuracy of GL reports within the payroll software.
- Support year end payroll process in coordination with VP of Operations and other internal stakeholders
- Stay abreast of upcoming statutory and regulatory changes that affect payroll
Qualifications:
- Minimum of three (3) years of Human Resources experience.
- Previous payroll experience.
- Working knowledge and experience with QuickBooks, Excel, Word, and Office.
- Ability to work on multiple tasks and prioritize meeting deadlines.
- Intellectual curiosity, meaning a strong desire to explore, question, and solve problems.
- Exceptional interpersonal, communication, and critical thinking skills.
- Collaborative work style and ability to work effectively across departments.
- Results oriented with ability to effectively manage projects and tight deadlines.
- Service oriented, collaborative approach has exceptional follow up and organizational skills.
- Successfully pass reference checks and background investigations.
- Ability to work in an ever-changing environment.
