Controller Position

Hawk Pointe Golf Club is an exclusive Residential and Golf Course Community in a rolling and wooded landscape located in the heart of Washington New Jersey. Job Description

Develops and manages program to control and coordinate all on-site accounting and related activities including records; develops, establishes and administers procedures and systems pertaining to financial matters; manages financial handlings for all Club functions.

General Duties

Maintains accurate records of all transactions.

Maintains exact records of accounts payable; reconciles accounts payable with invoices, purchase orders and expense reports; writes and/or issues payments on accounts.

Collects charges; prepares and mails receivables; reconciles and posts payments received.

Maintains transaction supplies (including cash) and collects charges or cash for transactions.

Maintains all accounting records and is responsible for development, analysis and interpretation of statistical and accounting information.

Overall Policies & Procedures

Formulates, receives and recommends policy proposals for approval relating to accounting and auditing, the budget and cost control, preparation and payment of payrolls, sales tax matters, and office methods and procedures.

Prepares monthly required supporting schedules and other data necessary for financial reports and records

Manages and conducts internal auditing programs to assure that records are accurately maintained and that established policies and practices are satisfactorily and consistently followed

Works with the club's external accountant to assure that procedures are consistent with city, state and federal laws

Participates in and verifies the taking of various inventories for beverages, food, supplies, equipment, furnishings, etc.

Verifies that all insurance records for club property are maintained

Assists and advises other department heads regarding the financial aspects of their areas

Preparation of applicable monthly state sales tax forms

Cash & Account Management

Maintains a sales journal, charge journal, checks register, accounts receivable, accounts payable, inventories, general journal, payroll and personnel files, sales tax reports and more.

Operates the club's in-house computer system (Jonas).

Produces computer reports including: payroll, accounts receivable, accounts payable, general ledger and monthly financial statements

Collects all cash and receipts from all cash registers

Makes bank deposits

Balances petty cash and operating cash funds

Manages the petty cash fund

Prepares accurate weekly cash flow reports

Accounts Payables

Collects and files invoices

Audits vendor invoices

Posts invoices to proper accounts

Reviews purchasing reports by departments

Audits inventories

Purchases and maintains office supplies

Issues and tracks orders for operating departments

Deposits any federal, state and municipal taxes on a timely basis

Compiles and maintains credit applications for vendors

Manages all credit memos to assure that no incorrect charges are paid

Processes all invoices for final payment

Audits and pays all club bills and invoices

Accounts Receivable

Collects all member charges

Posts charges to accounts

Prepares and mails member charges/statements

Administers the billing and collection of membership dues

Receives and reconciles payments on accounts

Maintains membership records

Randomly audits point of sale charges

Responds to member billing inquiries

Determines and sends delinquent notices

Daily Close Outs

Prepares daily cash balance sheet

Maintains and replenishes operating cash funds

Balances operating cash fund

Batches charges

Controls disbursement and collection of charge tickets and guest checks

Reconciles operating funds using double-entry bookkeeping method

Accounts for overages and shortages

Post cash sales and charge sales to daily income reports

Payroll Management

Maintains time and attendance, absentee and leave records

Prepares payroll and all payroll-related tax returns and reports:

Collects time and other pay vouchers from all departments

Verifies total hours worked by each employee

Maintains accurate records of pay rates for all employees

Manage payroll processing through ADP

Prepares all appropriate forms required for submission with payroll

Inventory Management

Prepares inventory work sheet and cross-checks prices with invoice prices

Monitors to assure that procedures for effective receiving and storeroom control are in place and consistently used
