Duties

  • Provide comprehensive administrative support to senior executives and sales teams, including calendar management using Microsoft Outlook Calendar and Google Workspace.
  • Coordinate and organize events, meetings, and client presentations with precision, handling logistics such as venue booking, catering, and materials preparation.
  • Manage office operations efficiently—overseeing filing systems, data entry, bookkeeping with QuickBooks, and maintaining office supplies inventory.
  • Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while directing calls and taking detailed messages.
  • Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and ensuring timely completion of tasks.
  • Assist with personal tasks for executives as needed, including scheduling appointments and managing travel arrangements.
  • Conduct transcription of meetings or notes and perform proofreading to ensure clarity and accuracy in all communications.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to prepare presentations, reports, and correspondence that impress clients and internal teams alike.
  • Maintain client files and manage customer service inquiries promptly and courteously to uphold our reputation for excellence.
  • Support event planning activities from inception to execution—coordinating vendors, managing RSVPs via DocuSign or email confirmations, and ensuring seamless event flow.
  • Oversee front desk responsibilities when needed—greeting visitors professionally and managing incoming mail or deliveries.

Experience

  • Proven experience as an executive assistant or personal assistant supporting high-level professionals in a fast-paced environment.
  • Demonstrated expertise in office management tasks such as filing systems, data entry, clerical duties, and bookkeeping using QuickBooks or similar software.
  • Strong background in event planning, project coordination, and calendar management across multiple platforms including Microsoft Outlook Calendar and Google Workspace.
  • Excellent organizational skills with the ability to prioritize tasks effectively while maintaining attention to detail under pressure.
  • Exceptional communication skills—both written and verbal—with polished phone etiquette.
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications (Docs, Sheets), transcription tools, proofing techniques, and data entry systems like Docusign.
  • Prior experience in customer service roles or front desk operations is highly desirable.
  • Familiarity with multi-line phone systems and office technology enhances efficiency in daily operations.
