Position Summary:

The Home Health Intake/Scheduler is responsible for coordinating patient referrals, managing the scheduling of clinicians, and ensuring efficient communication between referral sources, patients, and the care team. This role plays a key part in maintaining smooth daily operations and exceptional service delivery.

Responsibilities

  • Coordinate and schedule patient appointments efficiently across multiple providers and specialties using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix.
  • Verify insurance coverage and perform insurance eligibility checks to facilitate smooth billing and reimbursement processes.
  • Manage incoming calls with professional phone etiquette, addressing patient inquiries, appointment requests, and follow-up needs promptly.
  • Maintain accurate and up-to-date medical records, ensuring all documentation review aligns with HIPAA regulations and confidentiality standards.
  • Assist with intake procedures by collecting patient information, updating demographic data, and preparing necessary documentation for provider review.
  • Collaborate with clinical staff to coordinate care plans, procedures, and follow-up appointments to optimize patient care delivery.
  • Utilize computer skills to navigate multiple EMR systems such as Eaglesoft or other health information management software efficiently.
  • Support medical billing processes by understanding CPT coding, ICD-9/10 coding standards, and Medicare requirements when applicable.
  • Perform clerical duties including filing, data entry, appointment confirmations, and managing multi-line phone systems to ensure smooth front desk operations.
  • Provide exceptional customer service by addressing patient needs with professionalism and empathy while maintaining high levels of accuracy in scheduling and documentation.
  • Assist with office management tasks such as maintaining medical records filing systems, managing office supplies, and supporting overall clinic operations.

Qualifications

  • Proven experience in medical scheduling within a healthcare setting or dental clinic environment is highly preferred.
  • Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix or Eaglesoft is essential.
  • Familiarity with medical terminology, ICD-9/10 coding standards, CPT coding, insurance verification processes, and Medicare guidelines.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Exceptional communication skills with a focus on phone etiquette and patient service excellence.
  • Proficiency in Microsoft Office Suite including Word and Excel; typing speed of at least 10 key strokes per second is desirable.
  • Bilingual abilities are a plus to serve diverse patient populations effectively.
  • Previous office experience in a healthcare or dental setting involving front desk duties or medical administrative support is preferred.
  • Knowledge of HIPAA regulations related to health information management is required.
  • Ability to work collaboratively within a team while demonstrating attention to detail and problem-solving skills.
