Kidspot — a thriving, multi-site pediatric therapy practice — is looking for an Operations Manager to keep our clinics running smoothly, efficiently, and with heart. The Operations Manager will play a key role in strategic planning, operational efficiency, and staff development to support the organization's mission and growth.

Responsibilities

  • Oversee front desk operations: scheduling, patient intake, phone management, and customer service.
  • Manage insurance credentialing and provider enrollment with payers.
  • Supervise authorization and billing workflows, ensuring clean submissions and timely payments.
  • Partner with our billing vendor and Office Manager to resolve denials, track reimbursements, and maintain payer compliance.
  • Develop and implement efficient office systems, processes, and checklists to improve productivity.
  • Maintain organized, stocked, and professional clinic environments.
  • Support staff onboarding, training, and compliance tracking.
  • Collaborate with the CEO and clinical leads to identify process improvements and operational gaps.
  • Meet and coordinate with pediatricians, healthcare providers, and community partners to strengthen referral relationships and improve continuity of care
  • Drive continuous improvement initiatives based on data analysis and industry best practices.

Ideal Candidate

  • Strong leadership and organization skills — you love structure, systems, and seeing a plan come to life.
  • Excellent communicator with a "get it done" attitude.
  • Experience in a healthcare or therapy clinic setting preferred.
  • Understanding of insurance billing, authorizations, and credentialing a plus.
  • Tech-savvy — comfortable using Google Workspace, EMRs, and spreadsheets.
  • Professional presence and communication skills to represent Kidspot when meeting physicians, partners, and parents.
