Non-Exempt Hourly Range: $29.00 to $30.50 per hour, based on skillset and experience
Make-A-Wish Greater Bay Area creates life-changing wishes for children with critical illnesses. Together with generous donors, supporters, staff and volunteers, Make-A-Wish delivers hope, strength, and joy to children and their families when they need it most. Since 1984, our chapter has granted more than 10,000 wishes in our Northern California territory, stretching from Monterey County to the Oregon border.
The Development & Governance Associate plays a key role in advancing our mission by providing vital support to both our fundraising and governance operations. This position supports the development team in managing donor portfolios, stewarding new and existing supporters, and ensuring accurate and timely data management within Salesforce. In partnership with senior leadership, the Associate also serves as the primary liaison to the Board of Directors and its committees, coordinating meetings, maintaining records, and supporting governance best practices. This role is ideal for a highly organized and relationship-driven professional who thrives in a collaborative environment, enjoys balancing multiple priorities, and takes pride in operational excellence. The successful candidate will bring strong communication skills, attention to detail, and a proactive approach to donor engagement, data management, and board support — helping drive both fundraising success and effective organizational governance.
This full-time (40 hours per week), hourly, non-exempt position is required to work in the Make-A-Wish Greater Bay Area office at least 2 days a week on Tuesdays and Wednesdays, as part of the current hybrid work model subject to change and/or work schedule updates.
Responsibilities
Development Associate
Portfolio Duties
- Collaborate with Make-A-Wish America Chapter Revenue Advisor to implement portfolio tracking strategies and reporting
- Assist and maintain frontline fundraisers' portfolios of giving prospects
- Enter proposals into Salesforce CRM database
- Review portfolios to assure frontline fundraisers stay on track to meet proposal deadlines
- Outreach via phone calls/emails/handwritten cards to set meetings for CEO, Senior Development Team Members, and other frontline fundraisers
- Maintain portfolio adds/drops for frontline fundraisers based on connections made – removing inactive prospects & finding new prospects to fill in
- Use Windfall data analysis to find high priority prospects to add to portfolios
- Enter action reports into CRM database for CEO, Senior Development Team Members, and other frontline fundraisers
- Assist Database team with prospect research for event attendees, briefings for meetings, and additional projects as assigned
- Other duties as assigned
Stewardship Duties
- Assist in prioritizing stewardship of new donors via Chapter Direct Mail Program, Wheels For Wishes, online donations, and other unsolicited donations
- Stewardship phone calls/emails/handwritten cards to new donors with the goal of making personal contact to arrange meetings with a frontline fundraiser
- Serve as a liaison between Marketing and Development for storytelling/impact collateral for Adopt-A-Wish and other donor stewardship collateral
- Help identify wishes that are suitable for donor stewardship and collect photos and testimonial
- Provide donor needs, deadlines, and updates to the Marketing team to ensure timely production of stewardship collateral
- Oversee the workflow between all parties to ensure timely production of stewardship collateral
- Assist with ordering, pick up, and delivery of stewardship collateral as needed
- Other duties as assigned
Governance Associate
- Serve as staff liaison to Board of Directors and Committees (Finance, Audit, Executive, Governance, and other task forces/councils)
- Work with CEO, other Senior leaders and chairs to set meeting dates, publish agendas, send meeting reminders, arrange for in-person or remote meetings
- Attend meetings, record attendance, and prepare meeting minutes
- Maintain board member files, Salesforce records, and Board Effect access
- Manage tracking and reporting of board giving
- Provide documentation for fiscal year-end, audit, and Form 990
- Act as chapter administrator for Board Effect and support all users
- Support CEO and Governance Committee with Board Retreat planning
- Support onboarding of new board members (application through orientation)
- Assist other Committees and Councils as needed
- Other duties as assigned
Requirements
- Ability to maintain complete confidentiality.
- Highly organized, detail-oriented, and able to manage multiple priorities under pressure.
- Excellent written and verbal communication skills; strong follow-through.
- Effective presentation skills.
- Proficiency in Microsoft Office Suite and SharePoint; Salesforce experience preferred.
- Reliable transportation for occasional travel.
- Flexibility to work some evenings and weekends.
Education & Experience
- 3+ years related non-profit work experience office environments, preferably in development and governance/committee support roles
- Bachelor's degree preferred
