Position Overview:
Adams & Martin Group has partnered with a client to find an experienced Grants Coordinator in Florida. The ideal candidate will facilitate effective communication and coordination between programmatic and fiscal staff, ensuring alignment between program deliverables and financial reporting requirements. This role is pivotal in supporting the grants management process and ensuring that both programmatic outcomes and fiscal accountability are met.
Responsibilities:
Program-Finance Liaison:
- Serves as the primary liaison between programmatic staff and fiscal staff, ensuring consistent communication and alignment between deliverables and financial reporting.
- Translates program activities into fiscal terms and fiscal requirements into actionable program steps.
- Proactively identifies and resolves discrepancies between financial and programmatic reporting.
- Identifies opportunities and documents decision-making during cross-departmental meetings regarding distribution guidance, budget modifications, expenditures, and reporting.
Financial Tracking and Reporting:
- Run and analyze staff time spending reports to ensure accurate allocation of effort across grant-funded activities.
- Review case funding codes for accuracy and reconcile with deliverables, budgets, and expenditures.
- Review time entries to ensure compliance with LSGMI and funder requirements.
- Submit invoices prepared by Finance to funders and coordinate response to any funder questions or requests for additional information pertaining to fiscal issues.
- Monitor grant expenditures and timelines to ensure alignment with approved budgets and reporting requirements.
Grantee and Subrecipient Oversight:
- Prepare, collect, and save reports and supporting documentation from grantees and subrecipients.
- Provide technical assistance to grantees regarding reporting requirements, templates, and deadlines.
Grant Compliance and Administration:
- Support the Grants Team in tracking and maintaining grant deliverables, deadlines, and compliance requirements.
- Support program staff in understanding allowable costs, reporting expectations, and funding guidelines.
- Assist in preparing internal and external reports to ensure accuracy and timeliness.
- Support internal audits, funder audits, and monitoring visits as needed.
Qualifications:
- Bachelor's degree in accounting, finance, public administration, nonprofit management, or a related field (or equivalent experience).
- Experience in grants administration, finance, or compliance (nonprofit or legal services setting preferred).
- Strong analytical skills with attention to detail in financial tracking and reconciliation.
- Proficiency with financial reporting systems, spreadsheets, and database management.
- Excellent organizational and time-management skills; ability to manage multiple deadlines. Project management experience preferred.
- Strong communication and interpersonal skills, with proven ability to facilitate collaboration across departments.
Required Work Hours:
Monday to Friday, standard first shift.
Additional Details:
Pay Range:
$26 - $28 per hour.
