Client Service Representative

Job Overview
The Client Services Representative role provides consistent and outstanding client services within our veterinary hospital environment. In addition, the CSR functions as an integral team member within the hospital team to support the doctors and support staff.
Responsibilities
- Greets clients promptly and courteously upon arrival for a variety of services
- Responds professionally to client's requests for assistance in various areas
- Check-in patients for scheduled services; appointments, emergencies, and outpatient procedures; notify clinicians/staff of patient's arrival
- Confirm the reason for the visit and update client/patient information/rDVM information
- Monitor and acknowledge client wait times and take appropriate action to resolve patient flow issues
- Handle hospital in-house transfers, collect deposits, and ensure proper paperwork is completed
- Review consent forms with clients and set clear and accurate expectations
- Concludes client/patient visit with check out, schedules follow-up appointments or procedures, if necessary, accepts and processes payment
- Provide all clients with discharge paperwork and a copy of the invoice
- Demonstrate compassion and empathy during sensitive client interactions, especially with euthanasia, discuss body care, and enter the Trusted Journey Portal
- Assist clients with picking up outpatient medications and patient cremains
- Check email; save and attach referral records to correct client accounts
- Scan and attach appropriate documents to the patient's account
- Be aware and sensitive to background conversation, and keep personal conversations professional and at an appropriate volume
- Maintain a safe, clean, and professional work area
- Ensure the front desk area is stocked with office supplies
- Always places the client at the center of attention to ensure a positive client experience
- Provides general and specific information as necessary and appropriate to clients
- Remains poised and professional with challenging clients or circumstances
- Facilitates communications to and from clients as necessary and directed
Requirements
- Strong aptitude for verbal and written communication, presentation, and relationship development
- Customer-oriented and friendly
- Active listener and detail-oriented
- Prioritization and time management skills
- Working quickly without compromising quality
- The hospital is open 24/7 willingness to work weekends and holidays
- This position reports to the Client Services Lead
- High school Diploma
Wage: Based on experience
Shift differential for 3rd shift.
Schedule:
- Monday 12p-5p, Wednesday- Friday 7a-5p
- Saturday - Monday 4p-2a
