A Glimpse of the Job
The Office of Academic Affairs within the School of Public Health at Texas A&M University is seeking a detail-oriented and collaborative Program Specialist II to support essential academic operations across the school.
In this role, you'll play a key part in coordinating course scheduling across departments, managing data and schedules in university systems such as Astra, SRS, and Banner, and helping resolve enrollment or scheduling issues before they impact students. You'll work closely with faculty, advisors, and leadership to review course offerings, adjust seat limits, and ensure schedules align with program needs.
You'll also support Education Abroad programs by coordinating documentation, timelines, and logistics, serving as a point of contact for faculty and students throughout the process. Collaboration with campus partners is a regular part of the role to ensure requirements are met and processes stay on track.
In addition, you'll provide advanced administrative and project support to the Director of Curriculum, helping maintain timelines, streamline workflows, and support effective communication across teams.
This position is well suited for someone who enjoys managing complex processes, balancing multiple priorities, and contributing to the smooth operation of academic programs in a dynamic higher education environment.

Required Education and Experience:
Bachelor's degree in applicable field or equivalent combination of education and experience.
Two years of experience in program support, coordination, or related areas.
Preferred Qualifications:
Master's degree in applicable field.
Experience with SPH programs and academic policies.
Ability to work cooperatively with others.
Knowledge of word processing and spreadsheet applications.
Excellent verbal and written communication skills.
Strong interpersonal, organizational, and customer service skills.
Maintains attention to detail and utilizes sound judgment.
Responsibilities:
Plans, develops, implements, coordinates, and monitors the school-wide course scheduling, including assignment of days, times, and classrooms.
Coordinates meeting logistics to include scheduling, follow ups, updates, status reports, etc.
Pulls, reviews, updates, and monitors reports
Responds to program inquiries
Reviews and adjusts course restrictions, seat limits, and class sizes; advises leadership of any issues or potential issues.
Enters and maintains schedules in university systems (Astra, SRS, Compass/Banner).
Collects and analyzes data related to SPH classroom sizes and scheduling.
Plans, develops, implements, coordinates, and monitors education abroad processes, to include routing, tracking, and ensure completion of required documents, scheduling, logistics, coordinating with other offices/departments as needed.
Liaises with faculty, students, and staff on paperwork and process efficiency.
Provides advanced administrative support for director of curriculum including assistance with project timelines, issue identification, office management, procedure updates, or travel arrangements.
May train or assist with management of student workers or future support staff.
Assists in preparing correspondence, reports, and other documents
Serves as a resource for staff, assisting in program and administrative task coordination and providing assistance across various teams.
Coordinates communication and workflow across departments and stakeholders.
