Key Responsibilities:

  • Manage all day-to-day accounting functions, including AP/AR, general ledger, bank reconciliations, and journal entries.
  • Oversee and maintain multiple QuickBooks company accounts, ensuring accuracy and consistency across entities.
  • Set up and manage automatic expense payments and recurring billing to improve efficiency and accuracy.
  • Process weekly payroll and ensure compliance with federal, state, and local wage laws.
  • Prepare and file sales tax returns, including resale tax exemption documentation and compliance management.
  • Coordinate with external accountants or auditors for tax preparation and year-end reporting.
  • Generate accurate and timely financial statements, cash flow reports, and budget variance analyses.
  • Monitor and improve internal controls, accounting procedures, and financial workflows.
  • Support leadership in financial planning, budgeting, and forecasting.
  • Ensure compliance with all applicable GAAP standards and company policies.

Qualifications:

  • 3+ years of progressive accounting experience, including controller or senior accountant responsibilities.
  • Expert-level proficiency in QuickBooks (Online and/or Desktop), including multi-entity management.
  • Strong knowledge of payroll processing, AP/AR, and expense management systems.
  • Familiarity with sales tax compliance, including resale tax exemptions and filings across multiple jurisdictions.
  • Excellent understanding of GAAP and financial reporting principles.
  • High attention to detail, organization, and analytical skills.
  • Strong communication and leadership abilities.
  • Proficiency with Excel and other accounting software tools.

Preferred Skills:

  • Experience integrating QuickBooks with other financial or operational platforms.
  • Background in small to mid-sized business accounting or multi-entity operations.
  • Prior experience in automating payment workflows and expense tracking.
  • Ability to manage multiple priorities in a fast-paced environment.
