Job Summary

The Order Entry & Quoting Specialist is responsible for preparing customer quotes and accurately entering orders into the system. This role supports sales and production teams by ensuring order details are complete, accurate, and communicated clearly to both the customer and production team.

Monday - Friday

8:00 a.m. - 5:00 p.m.

Customer Interaction Requirements

  • Uphold a customer-first mindset by providing responsive, accurate, and professional service at every touchpoint
  • Maintain professional customer interactions across multiple channels, including face-to-face, telephone, and email correspondence.
  • Serve as a customer advocate by ensuring accurate communication, timely estimates, and smooth print production from order to delivery.
  • Occasionally visit customer sites, schools, and nonprofit organizations to support sales or coordinate quoting requests

Quote/Order Responsibilities

  • Timely acknowledge and process estimate requests
  • Analyze multiple variables to produce accurate and competitive pricing
  • Enter customer orders accurately into the order management system
  • Weekly follow up with customers regarding proceeding with orders
  • Review estimates and orders for accuracy and required details
  • Work closely with production team to ensure smooth order flow
  • Maintain organized records of quotes, orders, and updates
  • Assist with other administrative or all-hands-on-deck projects as needed

Qualifications

  • High school diploma or equivalent
  • Professional phone etiquette
  • Ability to calculate pricing, quantities, and measurements accurately
  • Strong attention to detail and accuracy
  • Proactive and self-motivated
  • Able to adapt to shifting priorities and workload demands
  • Demonstrates a strong sense of accountability and follow-through
  • Basic computer skills and willingness to learn new systems
  • Good written and verbal communication skills
  • Ability to stay organized and manage multiple tasks in a fast-paced environment
  • Previous office, customer service, or order entry experience is a plus but not required
  • Must meet company background screening requirements

Job Type: Full-time

Pay: From $18.00 per hour

Expected hours: 40 per week
