We are looking for a Patient Care Coordinator who is compassionate, organized, and confident on the phone to be the first point of connection for our patients.

This role is perfect for someone who loves building relationships, following up with intention, and helping patients take the next step in their wellness journey.

What You'll Do

  • Conduct discovery calls with new leads to understand their goals and explain our services
  • Build rapport, answer questions, and guide patients toward scheduling next steps
  • Track all leads, calls, and follow-ups in GoHighLevel
  • Consistently follow up with potential patients via phone, text, and email
  • Maintain accurate notes and statuses for each lead
  • Work closely with the clinical and admin team to ensure a smooth patient experience
  • Help improve conversion by staying organized and timely with follow-ups

Duties

  • Strong communication skills (warm, confident, and professional on the phone)
  • Experience with discovery calls, sales calls, or patient coordination preferred
  • Comfortable using CRM systems (experience with GoHighLevel is a big plus)
  • Highly organized and detail-oriented
  • Self-motivated and reliable with follow-through
  • Ability to speak confidently about wellness, hormone optimization, and aesthetics (training provided)
  • Empathetic and patient-focused—no high-pressure sales

Experience

  • Previous experience working in a medical or dental office environment is highly preferred
  • Strong knowledge of medical terminology to effectively communicate with healthcare providers and patients
  • Proven ability to support medical administrative functions efficiently and accurately
  • Office experience demonstrating organizational skills and attention to detail
  • Familiarity with dental office procedures is a plus but not required
  • Excellent communication skills with a friendly, approachable demeanor
  • Ability to multitask effectively in a fast-paced healthcare setting
