Position Overview:
The Case Manager supports the legal team by ensuring that case progress, attorney meetings, client communications, and key deadlines are effectively organized and tracked. This role requires strong attention to detail, excellent communication skills, and the ability to proactively manage multiple priorities in a fast-paced legal environment.
Key Responsibilities:
Attorney Meetings:
- Attend attorney meetings and take comprehensive notes.
- Transcribe and organize meeting discussions, identifying key points, action items, and important deadlines.
- Coordinate with internal staff (IS/AE) to calendar reminders and internal deadlines.
- CC AE, MSH, and NB on calendaring communications to ensure deadlines are captured.
- Verify that case blueprints are being updated; if incomplete, confirm status with RV and remind the managing attorney as needed.
Tracking Deadlines:
- Monitor upcoming case deadlines such as Statute of Limitations (SOL), Motions for Summary Judgment (MSJ), and Arbitrations (Arb).
- Review the Trial Matrix and proactively track trials for managing attorneys.
- Pull internal deadlines for associates and send reminders to managing attorneys 2–3 weeks prior to trial.
- Track progress and provide regular updates during monthly meetings.
Client Check-Ins:
- Ensure associates send initial and follow-up client check-in emails when cases are assigned or reassigned.
- Maintain a schedule to ensure check-in emails are sent every 2–3 months.
- Send general client check-ins offering assistance and addressing questions.
- Communicate client questions via the appropriate channel, tagging managing and handling attorneys for response.
Scheduling:
- Manage and resolve scheduling conflicts in coordination with the calendar and managing attorney.
- Identify available coverage when attorneys are in trial and coordinate accordingly.
- Monitor attorney chats to ensure scheduling and coverage needs are promptly addressed.
Skills & Qualifications:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proactive problem-solving and follow-through.
- Ability to work collaboratively across departments.
- Prior experience in a legal or case management setting preferred.
