Position Summary:

The HR Coordinator/Assistant provides high-level administrative and clerical support to the Human Resources Department with a strong emphasis on organization, coordination, and accuracy. This role serves as a central resource for the Employee Relations Manager, Benefits Manager, and HR Director. The position is ideal for candidates with solid administrative experience and emerging HR knowledge who are eager to grow within the field of human resources.

Key Responsibilities:

Administrative Support (Primary Focus – 60-70%):

  • Manage calendars, schedule meetings, coordinate appointments, and maintain records for HR leadership.
  • Draft, proofread, and distribute correspondence, reports, memos, and meeting minutes.
  • Maintain and organize both digital and physical personnel files in compliance with internal policies and regulatory standards.
  • Order and maintain HR office supplies, forms, and other departmental materials.
  • Prepare onboarding packets, assist with logistics for new hire orientation, and maintain tracking spreadsheets.
  • Coordinate logistics for HR meetings, training sessions, interviews, and employee events.

HR Coordination and Support:

  • Assist with data entry and maintenance of the HRIS system (e.g., employee records, status changes, performance documents).
  • Help track employee leave, disciplinary actions, and performance review due dates.
  • Support benefits administration tasks such as preparing open enrollment materials, tracking eligibility, and responding to employee inquiries.
  • Maintain confidentiality while handling sensitive employee information and interactions.
  • Assist in the coordination and tracking of employee training, policy acknowledgment, and compliance documents.
  • Respond to routine HR-related questions and redirect more complex matters to appropriate team members.

Qualifications:

  • Associate degree in Business Administration, Human Resources, or a related field preferred; equivalent experience considered.
  • 3-5 years of general administrative experience required.
  • Exposure to HR functions preferred (e.g., internships, coursework, or 6+ months of HR support).
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience using an HRIS (e.g., ADP Workforce Now) is a plus.
  • Strong written and verbal communication skills. Ability to converse with multi-professional levels in organization.
  • Ability to handle confidential information with discretion and professionalism.
