Job Overview:

We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our team. The ideal candidate will be responsible for managing the operations of accounts payable, handling all inquiries related to accounts payable, and maintaining strong vendor relations. This role requires a high level of accuracy and efficiency in processing invoices and expense reports, as well as a solid understanding of general ledger expense accounts and job costing. Experience in the construction industry is a plus.

Responsibilities Accounts Payable Management:

  • Oversee the operations of the accounts payable department, ensuring timely and accurate processing of invoices and payments.
  • Address and resolve all inquiries regarding accounts payable in a prompt and professional manner.
  • Manage and cultivate relationships with vendors, ensuring that all necessary documentation is obtained and maintained.
  • Maintain and develop guidelines for the proper handling and coding of invoices to ensure accurate reflection in the general ledger and job costing.
  • Analyze invoices and expense reports for accuracy and eligibility for payment.
  • Ensure compliance with federal, state, and company policies, procedures, and regulations.
  • Manage and reconcile accounts payable ledger to bank statements.
  • Oversee the ACH/Wire transfer program, coordinating with NetSuite and banking institutions to ensure smooth transactions.

Month-End Closing and Reconciliation:

  • Assist with the month-end closing process, including bank reconciliations and Avalara Sales Tax reconciliation.
  • Prepare financial reports as required during the month-end process.
  • Address and fulfill additional accounting needs as they arise during the month-end process.

Qualifications:

  • Well-versed in General Accepted Accounting Principles (GAAP)
  • Assist with the month-end closing process, including bank reconciliations and Avalara Sales Tax reconciliation.
  • Experience with job costing and its application within the accounts payable process.
  • Ability to analyze financial documents for accuracy and compliance.
  • Excellent organizational skills and the ability to manage multiple tasks simultaneously.
  • Strong communication skills, both written and verbal.
  • Strong analytical and problem-solving skills. For example, ability to analyze and resolve discrepancies in financial documents.
  • Prior experience in the construction industry is highly desirable.
  • Certified Accounts Payable Professional (CAPP) certification is a plus.

Education and Experience

  • Bachelor's degree in Accounting, Finance, or a related field is preferred.
  • A minimum of 3 years experience in an accounts payable role, with a track record of successful vendor management and process improvement.
