Job Overview

We are seeking a dynamic and highly organized HVAC Dispatcher to join our team In this vital role, you will coordinate and manage the scheduling, dispatching, and communication of HVAC service technicians to ensure timely and efficient maintenance, repairs, and installations. Responsibilities

• Act as the central point of contact for scheduling HVAC service calls, dispatching technicians promptly based on priority, location, and technician availability.
• Utilize transportation management systems (TMS) and GPS tools to plan routes efficiently, ensuring optimal travel time and resource allocation.
• Coordinate with supply chain teams to ensure technicians have access to necessary parts, tools, and equipment for each job.
• Maintain accurate data entry within systems such as Oracle Transportation Management and SyteLine, updating job statuses, technician assignments, and customer details in real-time.
• Communicate clearly with field technicians via multi-line phone systems and two-way radios to relay instructions, updates, and urgent requests.
• Monitor fleet management systems to track vehicle locations using GIS (Geographic Information Systems) technology and GPS tracking for effective transportation planning.
• Collaborate with shipping & receiving departments to manage freight movement related to HVAC parts and equipment.
• Handle phone etiquette professionally when interacting with customers, vendors, and team members to provide excellent service.
• Conduct analysis of dispatch data to identify opportunities for process improvements in transportation planning and logistics operations.
• Support the integration of third-party logistics (3PL) providers when necessary for freight or specialized services.
• Assist with shipping & receiving activities related to HVAC supplies while maintaining accurate records in AS400 or similar systems.

Requirements

• Proven experience in dispatching experience with HVAC or technical services is a plus.
• Strong knowledge of CRM software's and fleet management software's.
• Excellent analysis skills to interpret data related to transportation planning and logistics efficiency.
• Exceptional communication skills with professional phone etiquette; ability to handle multi-line phone systems confidently.
• Proficiency in data entry with high accuracy using systems like Oracle, Service titan, Jobber or similar software.
• Ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
• Strong organizational skills combined with the ability to prioritize tasks efficiently.
