Staff Accountant

We are seeking an experienced Staff Accountant to join our team. The ideal candidate will bring 5+ years of accounting experience within the construction industry, with a solid understanding of job costing, QuickBooks, and Excel. A degree in Accounting or Finance is preferred but not required. This position will support a wide range of accounting functions, with an emphasis on cross-training and providing flexible support to Accounts Payable, Accounts Receivable, and the Senior Staff Accountant to ensure continuity and accuracy across the department.

Key ResponsibilitiesGeneral Accounting & Financial Support

• Support daily accounting operations, including accounts payable, accounts receivable, payroll, and general ledger activity.
• Perform detailed job costing and collaborate with project managers to ensure accurate cost tracking and reporting.
• Reconcile bank and credit card statements and verify the accuracy of financial records.
• Assist with the preparation of monthly, quarterly, and annual financial reports such as P&L statements, balance sheets, and job cost analysis.
• Maintain accurate documentation and support compliance with accounting standards and internal controls.
• Ensure that outstanding invoices and overdue accounts are resolved in a timely, accurate, and professional manner.
• Ensure timely month-end and year-end closings in coordination with the Senior Staff Accountant.

Cross-Training & Departmental Support

• Support smooth financial operations by cross-training across AP, AR, and general accounting functions.
• Provide backup coverage for team members to ensure continuity during peak periods, high-volume weeks, vacations, and project deadlines.
• Work closely with project managers, permitting staff, and operations teams to ensure financial information, documentation, and billing data remain accurate.
• Maintain organized digital and physical financial records for easy retrieval and consistent workflow across the department.
• Assist in preparing, reviewing, and verifying billing-related documents as needed, including progress billing formats such as AIA, Procore, and Buildertrend submissions.
• Help monitor account activity and support follow-up on outstanding items, ensuring timely resolution and accurate reporting without being the primary collections contact.
• Contribute to ongoing process improvements in accounting workflows, documentation accuracy, and interdepartmental coordination.

Construction-Related Documentation & Compliance

• Support the review and preparation of key construction documents, including Certificates of Insurance (COIs), Notice to Owners, lien releases, and warranty-related files.
• Ensure documentation accuracy in CRM and accounting software, including AccuLynx and QuickBooks Online.
• Collaborate with internal teams to ensure projects move smoothly through billing, payment, and close-out processes.

Qualifications

• 5+ years of accounting experience in the construction industry is required.
• Proficient in QuickBooks and Microsoft Excel (advanced skills preferred).
• Strong understanding of job costing and project accounting.
• Excellent attention to detail, organizational skills, and accuracy.
• Ability to manage multiple priorities and deadlines simultaneously.
• Strong analytical skills with the ability to interpret and communicate financial data.
• Bachelor's degree in Accounting, Finance, or related field is preferred but not required.
• Familiarity with Florida construction requirements (COIs, NTOs, lien releases, warranties) is a plus.

Pay: $55, $60,000.00 per year
