Job Summary

The Accounts Payable Analyst is responsible for managing the day-to-day processing of vendor invoices and payments with accuracy, timeliness, and compliance with company policies. This position requires strong organizational skills and hands-on experience using Concur, Great Plains, and/or Steelcase accounting systems.

Success in this role depends on maintaining accurate records, proactively resolving discrepancies, processing high volumes of invoices each month, and providing excellent communication with vendors. The ideal candidate is detail-oriented, dependable, and experienced in navigating complex, multi-system accounting environments.

Essential Duties and Responsibilities

Invoice Processing & Coding

  • Review, verify, and enter vendor invoices ensuring proper coding, approvals, and documentation.
  • Match invoices to purchase orders and receipts as applicable.
  • Ensure accurate expense allocation across departments and projects.
  • Maintain compliance with internal approval requirements and accounting policies.

Vendor Management & Payments

  • Prepare weekly payment runs (ACH, checks, and wires) ensuring accuracy and timeliness.
  • Reconcile vendor statements and resolve outstanding or disputed balances.
  • Serve as the primary point of contact for vendor inquiries and payment status updates.
  • Maintain accurate vendor records, including COIs, W-9s, and tax reporting details.

Month-End Support

  • Ensure all invoices are recorded timely and in the proper accounting period.
  • Provide reporting and documentation for internal review and audit purposes.
  • Process and verify employee expense reimbursements through Concur, ensuring receipts and approvals are complete.

System & Process Improvements

  • Utilize Great Plains and/or Steelcase systems for invoice entry, reporting, and vendor maintenance.
  • Identify opportunities to streamline workflows and improve efficiency.
  • Support system enhancements or automation initiatives within the accounting team.

Minimum Requirements

  • Minimum 1 year of experience with Great Plains accounting system.
  • Minimum 1 year in a high-volume Accounts Payable role (~750 invoices/month).
  • Demonstrated experience using Concur or Steelcase accounting systems.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and accuracy in data entry and documentation.
  • Effective communicator with strong vendor and internal relationship-building skills.
  • Dependable, proactive, and committed to consistent, reliable performance.

Pay Rate

$25.00 – $32.00 per hour
