Job Summary

The Property Management Bookkeeper is responsible for handling the daily financial tasks for a portfolio of commercial real estate properties, with a focus on accounts payable and accounts receivable. This role ensures the accurate and timely processing of all financial transactions, maintains detailed records, and assists with month-end closing procedures to support the property management team and company operations.

Key Responsibilities

  • Accounts Receivable:
  • Generate and send invoices to tenants for rent, common area maintenance (CAM), and other charges.
  • Track and post incoming payments, ensuring all tenant accounts are up-to-date and accurate.
  • Monitor aging reports and manage collection efforts for delinquent accounts, communicating with tenants as needed.
  • Reconcile rent rolls to the general ledger.
  • Accounts Payable:
  • Process and pay vendor invoices in a timely manner, ensuring all payments are properly authorized and coded.
  • Maintain organized records of invoices, payments, and vendor correspondence.
  • Handle vendor inquiries and resolve payment discrepancies.
  • Process weekly check runs.
  • General Bookkeeping:
  • Assist with the monthly financial close process, including preparing journal entries.
  • Perform bank account reconciliations.
  • Ensure compliance with company policies and financial regulations.
  • Maintain and organize all financial records and documentation for audit purposes.
  • Assist in the preparation of annual CAM reconciliations and expense recovery billings.
  • Budgeting and Forecasting:
  • Assist in the developing, implementation and monitoring of budgets for the company's portfolio of properties by collecting financial data, forecasting future revenue and expenses, analyzing variances between budgeted and actual results, and supporting property operations and cash flow analysis.
  • Accounting Operations Oversight:
  • Assist in day-to-day accounting functions, including accounts payable, accounts receivable, payroll, general ledger, petty cash, and development project finances. Record and process transactions, code bills, apply cash receipts to tenant ledgers, and handle move-ins/outs, fees, and charges using accounting software.
  • Additional Duties:
  • Review and verify lease information, property setups, and chart of accounts in property management systems. Maintain processes, tools, and documentation for consistent procedures; analyze data, recommend improvements, and handle administrative tasks such as mail sorting, filing, and office supply management.

Qualifications

  • Proven experience as a bookkeeper, preferably in the commercial real estate or property management industry.
  • Experience with accounts payable and accounts receivable management.
  • Strong knowledge of accounting principles and bookkeeping procedures.
  • Proficiency with QuickBooks, Microsoft Excel, and Microsoft Word, as well as one or more industry-related systems such as Rent Manager, Yardi, or AppFolio.
  • High level of accuracy and attention to detail.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • A minimum of an Associate's degree in accounting or a related field is preferred.
  • Soft Skills:
  • Excellent analytical, problem-solving, organizational, and communication skills in English. Highly detail-oriented with strong leadership abilities to manage a team, collaborate across departments, prioritize tasks, meet deadlines, and handle high-volume work. Must be professional, motivated, ambitious, able to work independently or in a team, and adapt to changing technology.
