ABOUT THE CALIFORNIA VIRTUAL ACADEMIES AND THE POSITION:
The California Virtual Academies (a network of 9 public charter schools) delivers online/virtual home based instruction to students in grades TK-12 in California. We use K12, inc. as our curriculum provider for the basis of instruction and teachers provide live instruction via the Engageli platform. While our schools do offer some scheduling flexibility, students are still required to log into the online school daily, complete coursework, and attend instructional sessions.
Summary:
The Coordinator of Board and Charter Governance position works directly with the Head of Schools and designated administrators to provide executive level leadership and coordination of all Board of Directors governance activities, including, but not limited to, preparation, organization, and documentation of regular and special Board meetings for multiple non-profit, non-classroom-based charter schools. The Coordinator of Board and Charter Governance will ensure adherence to Open Meeting Laws, assist in implementing Robert's Rules of Order, safeguard confidentiality, and enable smooth collaboration amongst the Head of School, Board members, district authorizer representatives, staff, families, and community partners. This position requires a strong sense of responsibility, confidentiality, and the ability to handle multiple tasks in a timely and effective manner.
HOURS AND SALARY INFORMATION:
Full Time: Monday-Friday 8:00am-4:30pm You are not allowed to have another job during these contracted hours.
Salaried Position: $75,000-$82,500
Remote/Virtual Position

Essential Duties and Responsibilities:
- Collaborate with the Head of Schools/Administrators to prepare the monthly regular Board meeting agenda and all supporting documents.
- Serve as a liaison between the board members and other executives and departments.
Board governance and compliance
- Lead end-to-end governance operations to ensure full compliance with the Brown Act, the California Public Records Act, and all applicable Education Code and conflict of interest requirements including oversight of Statements of Economic Interests Form 700 and related filing officer duties
- Maintain and continually improve Board bylaws, policies, and procedures including an electronic policy library and an established multiyear policy review cycle to keep policies current and accessible to Board Members, staff, families, and the public
- Coordinate with legal counsel and external agencies as needed, and brief the Head of Schools and Board Chairs on emerging issues that could lead to risk litigation or liability
- Ensure board members and school leadership remain compliant with FPPC's conflict of interest code
Board meetings and official records
- Maintain the master calendar for all Board and committee meetings across nine Boards including annual organizational meetings, retreats, and special sessions
- Oversee agenda development, packet compilation, and public posting within statutory timelines, including coordination with department leaders for accurate actionable items and background materials
- Attend all Board meetings as required and ensure accurate preparation of minutes, resolutions, and official actions, along with timely distribution, approval tracking, and follow up on Board directives
- Implement and maintain a robust records management and retention program for all official Board records assuring secure storage, lawful retention, and responsive retrieval
Public transparency and requests
- Lead intake coordination and response for Public Records Act requests related to Board governance, ensuring timely accurate and compliant responses
- Ensure all required public notices are posted and distributed in the proper manner and within required timeframes, including meeting notices, agendas, and approved minutes
Board Member relations onboarding and support
- Serve as primary liaison to Board Members, providing high touch support on scheduling, information requests, travel logistics, and reimbursements while modeling tact, discretion, and professionalism
- Design and deliver onboarding, orientation, and ongoing development for new and continuing Board Members including training on open meeting laws, governance protocols, parliamentary procedure, and the use of the schools' systems and tools
Communication, engagement, and community relations
- Manage timely communication among Boards leadership, staff, families, and community partners including drafting and editing official Board communications, reports, and updates that are clear, accurate, and accessible
- Partner with government relations, communications, and community engagement teams to connect Boards with local leaders and public officials, fostering constructive relationships and coordinated outreach
- Coordinate Board Member attendance to events and meetings, including community forums, listening sessions, retreats, and recognition events, ensuring inclusive logistics and accessibility
- Partner with Communications to maintain current Board web pages and information portals including agendas, minutes, policies, and governance resources, and to share Board actions and key outcomes in accessible formats
Technology and virtual meeting operations
- Lead the setup and quality assurance of technologies used for agenda management streaming recording and hybrid or virtual Board and committee meetings ensuring reliable access for Board Members, staff, and the public
- Evaluate and implement tools that improve workflow transparency and document accessibility for a multi-Board environment
Planning, budgeting, and logistics
- Develop and manage the annual Board operations calendar and associated project plans for nine Boards aligning with strategic priorities and statutory timelines
- Prepare and monitor Board operations budgets in collaboration with Head of Schools, Finance, and Board Presidents to track expenditures and process purchasing and travel in accordance with policy while maintaining accurate financial records
Projects analytics and continuous improvement
- Conduct research and prepare analyses on governance topics, policy questions and best practices providing concise recommendations and implementation plans to the Head of Schools and Board Officers
- Establish service standards and metrics for agenda timeliness records accuracy PRA response time and meeting efficacy and drive continuous improvement across all Boards
- Establish standard operating procedures, templates, and quality controls that ensure consistent high-quality service to all thirteen Boards
Charter Authorizer Support
- Perform a variety of planning, organization, and coordination functions and activities in coordination with academic departments, related to charter authorizer oversight and charter authorizer requests, including, but not limited to, charter renewals.
- Responsible for submissions (and tracking of submissions) of all fiscal information – such as, but not limited to, interim budget certifications - to district, county, state, federal stakeholders, such as, but not limited to, Charter Schools' District Authorizer, County Offices of Education, California Department of Education (CDE), State Controller's Office
Facilitates signatures on all financial deliverables, such as, but not limited to interim budget reports
Additional Responsibilities:
- Assist with any additional duties necessary for the proper functioning of the Board and to ensure smooth execution of all Board-related tasks.
Requirements/Experience:
- Reside in the state of California
- Bachelor's degree preferred. An Associate's degree and substantial directly related experience will be considered.
- Previous experience in an administrative or board support role
- Familiarity with charter school governance or educational settings.
- Knowledge of school policies and the charter school environment is a plus.
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Comfort with technology and proficiency in tools like Microsoft Office (Word, Excel, PowerPoint), Zoom and Google Suite.
- Ability to be flexible and adapt to the changing needs of the Board and school.
Preferred Qualifications:
- At least five years of increasingly responsible experience supporting governing Boards or executive level leaders within a public agency educational institution or similarly regulated environment including experience leading agenda management minutes and official records
- Demonstrated knowledge of the Brown Act, California Public Records Act, Education Code, and conflict of interest rules, including filing officer practices for Form 700
- Proven success operating with a high degree of judgment, confidentiality and independence while managing multiple priorities and deadlines in a fast paced setting with frequent evening meetings

This position is a virtual position working from a home office. Must have ability to travel throughout the school year within and between assigned geographic areas to support students, attend regularly scheduled meetings, proctor state exams and participate in school activities and orientations.
