Our Clinics Department plays a vital role in ensuring seamless patient access, accurate information flow, and outstanding customer service. We are seeking a detail-oriented and service-driven Customer Service Representative to support clinic operations through high-quality patient communication, registration, and scheduling.

Position Overview

The Customer Service Representative (CSR) serves as the initial point of contact for patients through the centralized call center. This role is responsible for patient registration, insurance verification, appointment scheduling, and maintaining accurate communication with clinic departments. The CSR ensures exceptional customer service and compliance with all hospital, clinic, and privacy standards.

Key Responsibilities

  • Explain and obtain signatures for the Notice of Privacy Practices and required forms.
  • Update and maintain accurate patient demographic, financial, and clinical information in the EHR.
  • Ensure all new patient paperwork is complete.
  • Enter and update approved PHI contacts.
  • Verify insurance benefits and obtain referrals/authorizations before appointments.
  • Enter insurance verification notes in a timely manner.
  • Collect point-of-service payments and ensure correct posting.
  • Refer patients to the Financial Counselor as needed.
  • Obtain promissory notes when appropriate.
  • Schedule, reschedule, and cancel appointments using provider-specific templates.
  • Document detailed scheduling notes.
  • Educate new patients on registration steps and required forms.
  • Ensure appropriate guardians accompany minor patients.
  • Promote the use of patient tools such as the portal and satisfaction surveys.
  • Answer incoming calls courteously and professionally.
  • Direct inquiries appropriately and complete follow-up tasks.
  • Communicate with clinic departments and route messages accurately.
  • Report equipment, phone, or system issues promptly.
  • Maintain patient confidentiality and follow all HIPAA standards.

Qualifications

  • Education: High school diploma or equivalent required.
  • Experience: One year of administrative support experience preferred, ideally in a healthcare setting. Experience with billing, insurance, or medical office workflows preferred.
  • Skills:Strong communication, customer service, and organizational abilities, with the capacity to multitask accurately in a fast-paced environment. Must maintain confidentiality, demonstrate good problem-solving skills, and be proficient in Microsoft Office; EHR or medical office software experience is a plus.
