POSITION OVERVIEW

The Entity Coordinator supports the firm's Tax Advisory and Tax Preparation teams by managing administrative, operational, and compliance tasks for clients. This role works directly with business owners to ensure timely and accurate tax filings, proper implementation of tax strategies, and ongoing compliance with federal and state requirements. The ideal candidate is detail-oriented, proactive, and eager to grow within a fast-expanding tax organization.

This role can be remote, hybrid, or in-office in Omaha, Nebraska.

KEY RESPONSIBILITIES

Client Coordination & Support

  • Serve as a primary point of contact for tax preparation and tax advisory clients regarding administrative and compliance needs.
  • Assist clients with documentation requests, workflow management, and preparation for tax filing.
  • Support the implementation of tax strategies designed by the advisory team, ensuring clients complete required steps.

Assistance With Tax Preparation Inputs

  • Gather, organize, and verify client income, expense, and financial documents needed for tax return preparation.
  • Input data into the firm's tax software to support preparers in producing accurate and timely tax returns.
  • Ensure completeness of documentation before passing files to the tax preparation team.
  • Monitor outstanding items and proactively follow up with clients to prevent delays in filing.

Payroll Setup & Management

  • Set up, manage, and maintain payroll for clients, including multi-state payroll operations.
  • Understand key differences and requirements between states related to payroll taxes, registrations, and compliance.
  • Monitor payroll filings and deadlines to ensure accuracy and timeliness.

Entity & Compliance Administration

  • Assist with S corporation setup, annual compliance requirements, and state-level registrations or renewals.
  • Coordinate with clients to maintain proper documentation for S corporation elections, officer payroll, and reasonable compensation compliance.
  • Support clients with entity changes, filings, and ongoing maintenance.

Tax Planning & Strategy Implementation

  • Work with the tax advisory team to support delivery of tax strategies and ensure client follow-through.
  • Assist with gathering financial data for tax projections and planning scenarios.
  • Develop a foundational understanding of tax planning strategies and tax-saving opportunities (training provided).

REQUIRED SKILLS & QUALIFICATIONS

  • Strong attention to detail, accuracy, and organizational skills.
  • Proactive communicator who can follow up with clients and internal team members without prompting.
  • Ability to manage multiple clients and deadlines in a fast-paced environment.
  • Familiarity with payroll systems and multi-state payroll requirements (or willingness to learn quickly).
  • Basic understanding of tax principles, tax projections, and S corporation compliance—or strong willingness to learn.
  • Comfortable working with financial information and tax-related documentation.
  • Proficiency with cloud-based tools, workflow systems, and communication platforms.

PREFERRED SKILLS & QUALIFICATIONS


•      Experience in a tax firm, accounting practice, or payroll environment.


•      Enrolled Agent (EA) designation or actively pursuing EA certification.


•      Experience supporting business owners with administrative or compliance tasks.

CAREER OPPORTUNITY

Salary range for this role is $85,000 to $115,000, commensurate with the successful candidate's experience and expertise.
