- Create detailed event briefs, timelines, logistics plans, and cost models.
- Source venues and negotiate contracts with hotels, event spaces, production vendors, and suppliers.
- Coordinate lodging, catering, audiovisual, décor, transportation, and hospitality needs.
- Forecast, track, and manage event budgets.
Stakeholder & Team Coordination

- Partner with internal teams and external vendors to align on objectives, deliverables, and schedules.
- Prepare and distribute agendas, guidance, and planning materials.

- Lead onsite setup, registration flow, staging, and meeting room execution.
- Manage internal support teams, contractors, and venue staff during events.
- Proactively identify and resolve issues to ensure seamless execution and strong attendee experience.
Vendor & Contract Management
- Lead negotiations with hospitality partners, venues, AV providers, and agencies.
- Evaluate vendor proposals for cost efficiency, quality, and service standards.
- Maintain strong supplier relationships and oversee performance.
Post-Event & Optimization
- Deliver post-event reporting including budget reconciliation, feedback, and performance metrics.
- Conduct stakeholder debriefs and recommend improvements for future events.
- Track event effectiveness including engagement, meeting outcomes, and ROI.
Qualifications
- 8+ years of experience in corporate event management, hospitality, or large-scale event planning.
- Proven success managing complex, multi-day events from planning through onsite execution.
- Strong contract negotiation experience with hotels, venues, and event vendors.
- Ability to lead cross-functional teams and vendors without formal people management.
- Excellent budgeting, financial tracking, and reporting skills.
- Exceptional communication, organization, and problem-solving abilities.
- Experience supporting senior executives, VIPs, or high-visibility stakeholder events.
