Location: Snowmass Club | Snowmass Village, CO

Status: Full-Time | Exempt

Reports to: Assistant General Manager

Supervises: None

Are you an organized, detail-oriented professional who enjoys creating structure and efficiency behind the scenes? Snowmass Club is looking for a Purchasing Agent to oversee the sourcing, purchasing, and management of goods, supplies, and equipment for our entire Club. This role ensures that every department—from Food & Beverage to Housekeeping—has what they need, when they need it, all while maintaining accuracy, cost control, and exceptional vendor relationships.

What You'll Do

Leadership & Collaboration
  • Act ethically, manage budgets responsibly, and follow Club policies.

  • Build positive, collaborative relationships with department heads to support daily operations.

  • Model professionalism, reliability, and fiscal responsibility in all interactions.

  • Provide guidance and training on purchasing and receiving procedures.

Procurement & Purchasing
  • Implement and maintain a standardized purchase order system across all departments.

  • Source, evaluate, and maintain vendor relationships; negotiate pricing, terms, and quality standards.

  • Process purchase orders in alignment with approved budgets and purchasing policies.

  • Standardize products where possible to improve consistency and reduce waste.

  • Maintain and update approved vendor lists, ensuring strong performance in pricing, service, and quality.

  • Coordinate with department leaders on seasonal needs, projects, and special events.

Receiving & Inventory Management
  • Oversee centralized receiving for all departments, verifying deliveries and resolving discrepancies.

  • Maintain organized, safe, and efficient storage areas using FIFO rotation.

  • Keep accurate inventory records and conduct regular audits.

  • Support monthly and year-end physical inventories.

Cost Control & Compliance
  • Partner with the Controller to track spending, identify variances, and control costs.

  • Implement SOPs for purchasing, receiving, and documentation workflows.

  • Ensure timely and accurate invoice submission to Accounts Payable.

  • Identify opportunities for vendor consolidation, rebates, and cost savings.

Security & Accountability
  • Maintain controls to prevent loss, theft, or misuse of Club property.

  • Monitor inventory distribution and maintain restricted access where appropriate.

Administration & Reporting
  • Utilize club systems (e.g., Jonas Club Management or equivalent) for POs, receiving, and inventory tracking.

  • Maintain accurate pricing, item catalogs, vendor files, and par levels.

  • Prepare reports on purchasing trends, cost changes, and inventory turnover.

  • Recommend process and technology improvements to enhance efficiency.

Additional Responsibilities
  • Assist with special projects and event purchasing as needed.

  • Participate in Club events or employee activities.

  • Support departmental budgeting and forecasting efforts.

  • Monitor market trends for opportunities to improve quality and value.

Qualifications

Qualifications & Skills

  • Purchasing certification preferred.

  • Proficiency with Microsoft Office and purchasing/accounting software (Jonas experience a plus).

  • Strong organizational, communication, and negotiation skills.

  • Ability to lift 25–50 lbs. and work between office, storage, and department locations.

  • Must be able to communicate clearly in person, by phone, and in writing.

  • Valid driver's license for occasional local supply pickups.
