Associate Director Operations

Essential Duties:

  • Assists the Director or Asst VP in managing Operations/Facilities Management personnel, budget, policy, strategic planning, and daily operations. Provides oversight and leadership to Facilities Management, General Services, and Steam and Chilled Water Plant.
  •  Assists the Director/Asst VP in developing and implementing new departmental policies.
  • Assists Human Resources with job description revisions and discusses wage and salary Issues and personnel actions with Human Resources.
  • Responsible for the departmental stockroom ensuring supplies and equipment are replenished in a timely manner.
  • Responsible for the campus mall room and the billing and financial oversight.
  • Responsible for the campus Post Office and financial oversight.
  • Performs the duties of the Director/Asst VP in his/her absence.
  • Performs related duties as assigned to successfully fulfill the function of the position.
  • Provides overall direction and leadership for General Services, Carpenter Shop, Mailroom, Paint Shop, Electronics, Cardkey/Surveillance, Meeting Room/Conference Room Setups, Office Moves and Relocations.
  • Maintenance of all OU-Tulsa Facilities including doors, locks and keys, Fleet Services, Roof repairs and replacements.
  • Daily delivery of mail and parcels to all locations, bulk mail, Manage Fed Ex, UPS and other deliveries, postmark outgoing items with Pitney Bowes equipment.
  • Send and receive items daily from other campuses utilizing the state courier.
  • Patch and paint as needed or as requested by customers.
  • Order access cards, and print and program cards for employees and students, maintain surveillance cameras and replace
  • As needed coordinating with OU Police. Program zones and maintain the Genetec system to unlock primary entrances at designated times insuring a secure environment for faculty, staff and students
  • Supervises twelve employees, conducts performance appraisals, coaches and encourages team work and meeting customer's requirements.
  •  Emphasizes safe work practices, and cost effectiveness. Interacts with Facility Operations Group/Helpdesk/College of Medicine on situations/requests that aren't routine.
  • Documents specifications for most of the Contracted Vendors in Operations and assists the purchasing department with required information/documentation.
  • Oversees contracts for ongoing services, i.e.; Housekeeping, Food/Vending Service, Elevators, Pest Control, Mail
  • Courier, and Trash/Recycle Removal.
  • Oversees contracted services and is liaison between the University and approximately 30 Companies that provide services on an on-call basis.
  • Oversees appearance and maintenance of Buildings and issues work requests for items that can be done by University employees or contact outside vendors to provide service
  • Schedules the purchase of diesel fuel for emergency generators insuring an adequate supply.
  • Purchase fleet vehicles as needed.
  • Purchase tools and equipment to align with advancing technology.
  • Schedule and oversee testing of diesel in generator day tanks and underground storage tanks to maintain high quality fuel.
  • Jointly develops annual budget with Director of Operations and Department Business Manager.
  • Monitors expenses in area of responsibility to ensure budget and expenses are aligned.
  • Responsible for Asset Management for OU-Tulsa, inventory control and annual audit.
  • Discards surplus furniture through State of Oklahoma OMES surplus auction site.
  • Manages Fleet Fuel by obtaining and issuing gasoline credit cards for Operations Personnel.
  • Orders and maintains inventory of copy paper for all of OU-Tulsa.
  • Purchase and install American and OU flags and raise and lower according to Governors executive orders.
  • Purchase and install window coverings, Shades/Blinds.

Required Education: Bachelor's degree in accounting, Finance, or Business Management, AND:

  • 60 months administrative experience.

Equivalency/Substitution: Will accept 48 months of related experience In lieu of the Bachelors Degree for a total of 108 months related experience
