Lead Event Assistant

Under the direction of the Beach Pride Events professional staff, the Lead Event Assistant is responsible for actively participating in booking and implementing a variety of student activities and events that abide by University, Associated Students, Student Auxiliary Enterprises guidelines. The Lead Event Assistant plans, publicizes and attends events as well as completes related paperwork such as contracts, proposals, evaluations and payments. The Lead assists in recruiting and maintaining volunteer membership throughout the year and serves as the main liaison between the student government and Beach Pride Events.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Assists in the planning of ASI, USU and campus-wide events under the direction of the Beach Pride Events professional staff. Handle assigned responsibilities to help ensure Beach Pride Events success.
- Assists management with the training and scheduling of event assistants. Under the direction of management, help lead weekly staff meetings with event assistants and communicate updates and information to and from management.
- Facilitates the volunteer program by recruiting members, maintaining volunteer roster, reaching out to organize event sign ups, and overall engagement.
- Will be required and/or approved to attend additional campus committee or board meetings as Beach Pride Events designee.
- Helps in the handling of department's project management system, track contracts, payments and program evaluations. Additionally assists in the creation of the annual end-of-year report.
- Updates and tracks budget and program spending as assigned.
- Supports marketing creation/development and distribution of flyers, posters, banners, table tents and other informational materials relating to event promotion. Uses various methods to communicate with members and the campus community to gather and disseminate information regarding programs.
- Serve as the liaison between Beach Pride Events and ASI Student Government through consistent meetings with the ASI and USU leaders.
- Encourage collaboration with student organizations and campus departments. Interacts positively and builds effective working relationships with a diverse population of students, faculty, staff and administrators. Must have the ability to communicate with tact and diplomacy.
- Participates in distributing, processing and/or keeping abreast of information from union, campus and national surveys related to student interests and needs. Applies knowledge to better meet the needs of the campus' diverse student body.
- Able to perform basic clerical duties, answering phones, typing, filing, customer service and other duties as assigned.
Education and Experience
Minimum 1 year of event planning or related field experience required. Concurrent enrollment in six or more units at CSULB.
Knowledge and Abilities
Qualified candidates should demonstrate leadership, public speaking, and time management skills, with the ability to multitask in a fast-paced environment. Familiarity with event planning, parliamentary procedures, and Microsoft Office (Word, Excel, PowerPoint) is preferred. Strong communication, interpersonal, and customer service skills are essential, along with the ability to collaborate with diverse peers and staff.
OTHER QUALIFICATIONS
Schedule
Must be able to work a minimum of 15 hours per week with the flexibility to cover up to 25 hours per week as needed.
Must be available to work evenings and some weekends as needed during the academic year. Hours during summer and winter breaks are to be determined by supervisor.

The employee is occasionally required to walk to other offices within the building and around the campus. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus. The employee will be exposed to loud music and outdoor elements.
