As we expand, we're looking for a skilled and dedicated Office Operations Manager to join our leadership team.

Position Summary

The Office Operations Manager is a leadership role responsible for overseeing the day-to-day operations of our residential and commercial properties while also managing internal staff and office functions. You'll serve as a key point of contact for tenants, vendors, team members, and investors, ensuring smooth operations, regulatory compliance, and high levels of service and communication.

Key Responsibilities

Property Management:

  • Oversee daily operations for all Insight Holdings properties (residential and commercial)
  • Manage tenant relations, including leasing, renewals, rent collection, move-ins/outs
  • Handle sensitive tenant communications with professionalism, empathy, and discretion
  • Coordinate maintenance requests, repairs, and capital projects
  • Perform regular property inspections and ensure code compliance
  • Make regular property-related payments such as utilities and vendor invoices
  • Track and manage property performance, budgets, and operating costs

Administrative Duties:

  • Prepare and draft leases for new tenants, ensuring all documentation is accurate and complete.
  • Facilitate move-ins and move-outs, coordinating with tenants to ensure a seamless process.
  • Track and verify that all prospective tenants complete necessary paperwork and meet requirements.
  • Maintain organized records and documentation related to leasing and tenant communications.
  • Assist with basic accounting, including rent collections, payments, financial reporting, reconciliation, and entries.
  • Keep detailed records of property-related finances, contracts, and correspondence.
  • Utilize property management software, Microsoft Office Suite, Google Drive, Google Sheets, and Microsoft Excel to manage property data effectively.

Compliance & Administration:

  • Ensure compliance with all city, county, and state regulations
  • Manage elevator inspections, building inspections, rental registrations, and renewals
  • Oversee insurance coverage, licenses, and permits for all properties
  • Maintain administrative records for inspections, documentation, and deadlines
  • Support risk mitigation efforts and prepare for audits or regulatory reviews.

Office & Team Management:

  • Lead and support a team of 5+ employees (maintenance, leasing, groundskeeping, admin)
  • Conduct weekly check-ins, set KPIs, and ensure accountability and results
  • Oversee daily office operations, internal systems, and administrative workflows
  • Coordinate with vendors and facilitate timely, quality service delivery
  • Support onboarding, scheduling, and time tracking for staff

Qualifications

  • 5+ years of management experience
  • Strong leadership and team management experience
  • Solid understanding of regulatory and compliance requirements
  • Skilled in conflict resolution and sensitive communication
  • Strong administrative and organizational abilities
  • Proficient in property management software and Microsoft Office/Google Workspace
  • Experience in investor relations or office operations is a plus

Compliance & Legal Knowledge:

  • Ensure adherence to Fair Housing regulations and basic real estate laws.
