Summary:

We are representing a reputable mechanical contractor seeking an organized and proactive Project Administrator to provide administrative and project support across multiple commercial construction projects. This position plays a key role in maintaining project documentation, coordinating communication between departments, and assisting with scheduling, purchasing, and reporting tasks. The ideal candidate is detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced construction environment.

Key Responsibilities:

  • Maintain accurate project records including contracts, RFIs, submittals, and change orders
  • Assist in preparing and issuing purchase orders, tracking deliveries, and verifying invoices
  • Support project managers with scheduling updates, document control, and meeting coordination
  • Communicate with vendors, subcontractors, and internal teams to ensure timely flow of information
  • Process project correspondence, transmittals, and subcontractor documents for approval
  • Manage digital and hard copy filing systems to ensure compliance with company standards
  • Coordinate with accounting to verify job cost data and assist with billing documentation
  • Prepare meeting minutes, distribute updated drawings and reports, and track follow-up items
  • Assist with closeout packages including warranties, as-builts, and O&M manuals
  • Support administrative tasks such as reporting, time entry review, and project status updates

Qualifications:

  • Associate or bachelor's degree preferred; equivalent construction office experience accepted
  • 2+ years of experience in project administration or construction support
  • Proficiency with Microsoft Office Suite; experience with Procore, Bluebeam, or similar software preferred
  • Excellent organizational and communication skills
  • Strong attention to detail with the ability to prioritize and meet deadlines
  • Professional demeanor and ability to work collaboratively with multiple teams
  • Strong sense of ownership and accountability for assigned tasks
