Basic Function
The purpose of this position is to provide executive assistance and administrative support to the executive level management for the Student Affairs Division.
Supervisory Accountability
Responsible for providing limited supervision for one or more functions within a department. Formally plans, assigns, directs, and coordinates the work of these functions. Typically, responsible for performing some non-supervisory duties in addition to supervisory responsibilities.
Nature And Scope
Internal contacts include senior executives, administrators, staff, faculty, and students. External contacts include executives at other institutions of higher learning and all other executives and contacts in the public and private sectors.
Principal Accountabilities
- Provide efficient and professional administrative support to a senior level Executive. Including managing and maintaining multiple complex schedules, travel arrangements and speaking/presentation engagements for the Senior Vice President and other members of the Executive leadership team.
- Monitor, screen and respond to confidential, high profile and compliance/regulatory incoming/outgoing communications and correspondence. Responsible for triaging and managing the coordination of any resulting consultations, meetings, events and initiatives associated with these communications and/or as initiated by the Senior Vice President.
- Manage the implementation of special projects for the Senior Vice President including implementing procedures and execution of programmatic aspects of these initiatives and projects.
- Coordinate administrative procedures between divisional units and offices related to projects and/or initiatives and may assign and monitor student workers and administrative staff related to these tasks.
- Conduct research, serve as liaison to external contacts, prepare executive summaries, presentations and reports related to projected costs, needed resources, impact and evaluation of initiatives or projects for process improvement.
- Prepare presentations, correspondence and reports. Collect, compile and analyze data and composes a variety of correspondence, digital and social media graphic materials, reports and publications as assigned.
- Assist in the preparation of the Division's annual, midyear and other reports including the gathering and compilation of data needed for these reports. Assist the Senior leadership team in implementing, reviewing, and evaluating data related to assessment and programs within Student Affairs.
- Assists in coordinating special events and perform other job-related duties as assigned by the Senior Vice President for Student Affairs.
- Assists the Senior Vice President with preparation of presentations, reports and other publications that may be of sensitive or high-profile nature.
- Coordinates the travel arrangements, schedules meetings and follows up on actionable items as designated by the Senior Vice President for Student Affairs.
- Assists with the development of initiatives and projects that facilitate and improve the financial, administrative, service environment, and productivity of units reporting to the Office of the Senior Vice President for Student Affairs.
- Develops and maintains contacts with administrative support staff to disseminate clarify and promote information regarding the Office of the Senior Vice President for Student Affairs.
- Reviews and analyzes proposals, inquires memoranda and other communications forwarded to the Senior Vice President for review, comments and action.
- Drafts and edits important communications and documents for the signature of the Senior Vice President
- Performs other related duties as assigned.
Core Competencies
- Ability to work independently, while coordinating multiple tasks, managing competing priorities and demonstrated ability to collaborate with the Director of Operations and members of the Division of Student Affairs.
- Knowledge and understanding of the principles of student develop, and student affairs within a research intensive and diverse academic environment.
- Specific knowledge of the University, its structure, and written policies and procedures.
- Knowledge of word-processing, database management, presentation software, and spread sheets.
- High degree of independent research and analytical ability in order to assess various program and management options and related strategies.
- Ability to plan, coordinate and monitor a wide variety of projects relating to Student Affairs unit initiatives, best practices, and a demonstrated capacity to produce cohesive after-action reports, executive summaries and other publications.
- Ability to consolidate and organize comprehensive data, create manuals, and make recommendations to the Director of Operations ways to improve the efficiency and effectiveness of administrative processes within the Office of the Senior Vice President for Student Affairs.
- Competence in both oral and written English to communicate in a clear and concise manner.
- Ability to establish and maintain effective and harmonious work relations with faculty, staff, students and customers.
- Demonstrated commitment to inclusivity and a high standard of customer service and integrity.
- Ability to be a supportive and productive team member.
- May require late nights, weekend and some overnight travel.
Minimum Requirements
- Bachelor's degree in business or administration or organizational development and 5-7 years of experience required.
- Master's degree and experience in a Higher Educational environment or prior experience working with a Senior level Executive preferred.
- 12 years of related Administrative work experience may be substituted in lieu of educational qualifications.
