We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This pivotal role combines administrative excellence with team leadership, ensuring smooth office functions, efficient workflow, and a welcoming atmosphere for staff, clients, and visitors alike. As an Office Manager, you will play a key role in managing administrative processes, overseeing vendor relationships, and supporting team development to help our organization thrive.
Responsibilities
- Oversee all office operations, including front desk duties, multi-line phone systems, and reception area management to ensure a professional and friendly environment.
- Manage calendar scheduling for meetings, appointments, and events with precision and efficiency.
- Coordinate event planning activities such as staff meetings, training sessions, company celebrations, and community outreach events to promote team engagement.
- Supervise administrative staff and support team members by providing training & development opportunities to enhance their skills and productivity.
- Handle vendor management by negotiating contracts, processing invoices via QuickBooks or similar accounting software, and maintaining positive relationships with suppliers.
- Oversee human resources functions including onboarding new employees, maintaining personnel records, managing payroll processes, and ensuring compliance with employment laws.
- Maintain accurate bookkeeping records; manage filing systems (physical and electronic) to ensure easy retrieval of documents.
- Supervise clerical tasks such as data entry, document preparation, correspondence handling, and record keeping to support overall office efficiency.
- Ensure effective communication across teams through clear messaging and timely updates; foster a collaborative work environment.
- Manage office supplies inventory; order equipment or materials as needed to maintain operational readiness.
- Support medical or specialized office management tasks if applicable; coordinate appointments or patient records with professionalism.
- Uphold excellent phone etiquette while managing inquiries from clients or visitors professionally and courteously.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Demonstrated supervisory experience leading teams effectively.
- Proficiency in QuickBooks for financial management; familiarity with bookkeeping practices is essential.
- Excellent schedule management abilities to coordinate multiple calendars seamlessly.
- Strong vendor management skills including negotiation and relationship building.
- Knowledge of human resources processes such as onboarding, payroll administration, and employee relations.
- Competence in handling front desk operations including multi-line phone systems and visitor reception.
- Exceptional communication skills—both verbal and written—to foster clear internal and external interactions.
- Ability to manage budgets efficiently while identifying opportunities for cost savings.
- Adept at filing systems—digital and physical—and maintaining organized records for quick access.
- Strong multitasking capabilities with the ability to prioritize tasks effectively under pressure.
