Overview

We are seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of our front office. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various office software. Bilingual skills are a plus, as well as experience in medical or dental reception. Responsibilities

  • Greet visitors and clients promptly and professionally, creating a welcoming environment
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar for staff or providers using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks or other relevant software
  • Handle correspondence, emails, and administrative paperwork with attention to detail
  • Assist with billing, bookkeeping, and basic office management tasks
  • Provide customer support via phone and in person, ensuring excellent service standards
  • Proofread documents for accuracy before distribution
  • Maintain a clean and organized front desk area to promote professionalism
  • Support other administrative duties such as copying, scanning, and managing office supplies

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software preferred
  • Excellent phone etiquette and customer service skills
  • Ability to handle multi-line phone systems efficiently
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Exceptional organizational skills with the ability to prioritize tasks and manage time effectively
  • Clerical experience in an office setting or medical/dental reception is preferred
  • Strong typing skills with high accuracy for data entry and document proofreading
  • Knowledge of office management practices including filing systems and calendar management
  • Personal assistant or medical receptionist experience is a plus but not required
