Postal Operations Coordinator

We are currently seeking an energetic and ambitious individual to join our growing Postal Operations team. As a Postal Coordinator, you will maintain verification by planning, monitoring, and improving performance.

The Postal Operations Coordinator maintains quality assurance by planning, monitoring, and improving performance. The coordinator's overall daily job duties include but are not limited to the following tasks & responsibilities below.

RESPONSIBILITIES (including, but not limited to):

All lawful directives of your supervisor or a member of Company management.

Post-Presort Software AIMS

• Import (if needed)
• QC all files within the (usually 10-12 files)
• Adjust permit numbers, CRIDS, pre-denominated amounts, Customer Reference IDs (specific clients only) & EPA numbers in the MPA file
• Adjust dates or move destinations in the CSM file
• Add/Remove Promotions/Incentive/Credits
• Update/Add ID Campaigns in RMR/RMS files
• Split Jobs OR Destinations
• Suppressions
• Reversals
• Produce pallet flags and tray tags
• Create Postage View and Consolidated Statements
• Test updated version of

WES/W2

• Adjust/Add/Remove in-home dates, finalize dates, and shipping dates
• Hide Jobs First Ship Report
• Update Location on Overview Tab
• Validate upload on PostalOne Dashboard against postage in WES & email Postage Summary Available to Agency Account teams & Postage Grid Approvals Email Distro
• WES Documents – drop 3600/3602's
• Add/Assign CRID/Permit
• Search Format Library
• Presort Services Log
• Automation Job

BCG/PostalOne

• Upload jobs to TEM/PROD via AIMS software or manually via MDR Client
• PostalOne Dashboard/Electric Data Exchange (TEM) - double check uploaded data to make sure postage, finalize date, permit, PO of Permit & PO of Mailing, CRID, discounts/credits applied are correct
• Enroll/Reporting Incentive Programs
• Informed Delivery (ID) Mailer/Mailer Campaign Portal (MCP) – create/update/validate ID Campaigns
  
  Informed Visibility (IV) One-Time Query Lookup- Pallet/Tray scans
• Mailing Reports – Informed Delivery MSP refund & Seamless refund
• Manage Permits
• FAST lookups

WheresMyMail

• Low/No Exit Scans research in WMM/BCG/IV and then reach out to USPS BSN Rep

Miscellaneous Tasks

• Technique/Mailroom schedule review
• DWIP Update
• Postage Received
• Postage needed
• Updates job knowledge by participating in educational opportunities w/local post offices; reading professional publications; Webex/MTAC meetings, participating in professional surrounding organizations.
• Write up training guides and procedures
• Training on new processes/procedures & software programs

QUALIFICATIONS:

• GED / High School diploma
• Ability to utilize basic computer software applications including Word, Outlook, Excel, Power Point and UltraEdit, and SharePoint is a plus.
• Ability to work well under pressure in a deadline-driven environment.
• Ability to communicate effectively both orally and in writing.
• Ability to follow directions, processes, and procedures.
• Ability to adapt to a constantly changing workflow, process, and procedures.
