Intake Specialist (Client-Facing / Conversion-Driven)

Full-Time | In-Office (Middletown & Shively)

$18–$22 per hour

Colyer Law Firm is seeking a full-time Intake Specialist to serve as the first voice of our firm. This is a client-facing, conversion-driven role responsible for turning new inquiries into retained clients through empathy, clarity, and confidence.

What You'll Do

Client Intake & Conversion

  • Answer incoming calls, emails, web forms, and referrals
  • Respond to all new inquiries promptly
  • Deliver a calm, reassuring, and professional client experience
  • Screen and qualify potential cases using firm criteria
  • Guide qualified leads through the intake and signing process
  • Communicate clearly regarding acceptance, declination, or next steps

Case Coordination

  • Assign cases to the appropriate attorney and practice area
  • Confirm Statutes of Limitations and calendar deadlines
  • Open electronic files and initiate new matters
  • Coordinate weekly intake reviews with attorneys and leadership

Documentation & Reporting

  • Ensure all intake documents are completed and signed
  • Issue Letters of Representation promptly
  • Maintain accurate records in CRM and case management systems
  • Track lead sources, conversion rates, and intake metrics
  • Communicate regularly with the Office Manager, COO, and Marketing Team

Administrative Support

  • Provide administrative assistance to the Office Manager
  • Support daily office operations as needed

What We're Looking For

  • Customer service background required
  • Prior law firm intake experience preferred
  • Spanish-speaking preferred
  • Sales or conversion experience preferred
  • Strong communication, organization, and multitasking skills
  • High emotional intelligence and attention to detail
  • Comfortable using CRM systems, phone systems, email, and Microsoft Office

Schedule & Location

  • Full-time, in-office position
  • Monday–Friday, 8:30 a.m. – 5:00 p.m.
  • Work from our Middletown and Shively offices
