Job Title: Bookkeeper / Financial Assistant

Location: Peabody, MA (In-Person)

Schedule: Full-Time, Monday–Friday, 9:00 AM–5:00 PM

Start Date: Immediate – we're looking to fill this position ASAP

Job Summary

We are seeking an experienced Bookkeeper / Financial Assistant to help manage our financial records and support our healthcare organization's operational success. The ideal candidate will be proficient in QuickBooks Online, possess a strong understanding of accounting principles, and have bookkeeping experience. This role requires attention to detail, organizational skills, and the ability to handle sensitive financial information with integrity.

Key Responsibilities

  • Financial Recordkeeping: Maintain accurate and up-to-date financial records using QuickBooks Online, ensuring compliance with company policies and accounting standards.
  • Bookkeeping Tasks: Process accounts payable and receivable, reconcile bank statements, and prepare financial reports.
  • Payroll Support: Assist with payroll processing, including tracking employee hours, managing deductions, and ensuring timely payments.
  • Tax and Compliance: Support preparation of 1099s, assist with tax-related documentation, and ensure compliance with Workers' Compensation requirements.
  • Accruals and Reconciliations: Manage accruals, track expenses, and perform monthly account reconciliations to ensure financial accuracy.
  • Health Insurance Reimbursements: Process and track health insurance reimbursement claims, ensuring timely and accurate payments.
  • Spreadsheet Management: Create and maintain Excel spreadsheets for budgeting, forecasting, and financial analysis.
  • Collaboration: Work closely with the finance team and other departments to streamline processes and provide financial insights.
  • Ad Hoc Duties: Assist with additional financial and administrative tasks as needed to support the organization's goals.

Qualifications

  • Required:
  • Bookkeeping experience with a proven track record of managing financial records.
  • Proficiency in QuickBooks Online (certification is a plus).
  • Basic understanding of accounting principles (e.g., GAAP).
  • Strong proficiency in Microsoft Excel for creating and managing spreadsheets.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Preferred:
  • Familiarity with accruals, payroll processing, tax documentation (e.g., 1099s), and Workers' Compensation compliance.
  • Experience with health insurance reimbursement processes.
  • Associate's or Bachelor's degree in Accounting, Finance, or a related field.
  • Experience in the healthcare industry is a plus but not required.
