SUMMARY

We are seeking a highly organized and detail-oriented Project Administrator to support the successful execution of multiple concurrent projects across the bank. This role is critical in ensuring project documentation, coordination, and communication are maintained to the highest standards, enabling project teams to deliver on time and within budget. The position is expected to span approximately 18-24 months. Depending on business needs and performance, there may be opportunities for continued employment or assignment to future projects thereafter.

The Project Administrator will ensure project success by providing administrative support. Their primary task is to work alongside the project manager and support their role. Project administrator is responsible for arranging meetings, providing documentation and may have a wide variety of other tasks, depending on the project.

QUALIFICATIONS

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Project Coordination:
  • Assist in planning, scheduling, and tracking project activities across multiple workstreams.
  • Maintain project calendars, timelines, and deliverables.
  • Coordinate meetings, prepare agendas, and document minutes.
  • Documentation & Reporting:
  • Prepare and maintain comprehensive project documentation including outstanding tasks, plans, and status reports.
  • Support the creation of executive dashboards and performance metrics.
  • Ensure version control and proper filing of all project documents.
  • Communication & Stakeholder Support:
  • Serve as a liaison between project teams, stakeholders, and vendors.
  • Facilitate clear and timely communication across all levels of the organization.
  • Support change management and training initiatives as needed.
  • Compliance & Risk Management:
  • Ensure projects adhere to internal policies, regulatory requirements, and risk management protocols.
  • Assist in identifying and escalating project risks and issues.
  • Tool & System Management:
  • Utilize project management tools (e.g., MS Project, JIRA, Smartsheet, or equivalent) to monitor progress and track tasks.
  • Support data entry and reporting within project tracking systems.
  • Required, reliable attendance is required.

EDUCATION/EXPERIENCE

  • 3+ years of experience in project administration or coordination, preferably in banking or financial services.
  • Experience with Jack Henry Banking software systems preferred.
  • Strong proficiency in MS Office Suite and project management software.
  • Excellent organizational, communication, and multitasking skills.
  • Familiarity with regulatory environments and risk management practices in banking is a plus.

AT-WILL EMPLOYMENT

While this position will support work performed under defined contracts or projects, employment remains strictly at will. This means that either the employee or TBER may terminate the employment relationship at any time, with or without notice, and with or without cause, subject to applicable law.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit, stand, walk, reach with hands and arms, stoop, kneel, crawl and use computer for extended periods.
