Criminal Case Coordinator

The purpose of this classification is to process documentation, coordinate, and manage activities involving criminal cases, tracking criminal cases, and providing Court orders. Position acts as liaison between the different departments of the Judiciary.
Essential FunctionsThe following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Processes a variety of documentation associated with court/department operations, within designated timeframes and per established procedures.
Manages an assigned judge's court calendar, including scheduling dates and times for hearings, motions, and trials: provides information to attorneys and other concerned parties regarding cases on court calendar; and acts as a liaison between departments and the assigned Judge as required.
Retrieves and returns original papers to the courtroom, monitors and tracks cases on court calendar, and prepares various reports related to assigned cases.
Plans, schedules, and advertises assigned court calendars for jury or non-jury trials, motions, bond arrangements, and judgments to be entered: and responds to all inquiries, including notifying litigants and attorneys regarding dates and times of court cases.
Performs various duties in the courtroom, such as coordinating paperwork, recording dispositions, and providing technical guidance, and information to attorneys as required.
Updates criminal and statistical information, reports, and dispositions on the computer, and other criminal court systems as required.
Researches and responds to requests of the assigned judge, including preparing appropriate correspondences related to assigned court cases.
Calls court calendar at beginning of each court day and updates Judge on status of calendar.
Prepares and files rule nisi to set hearings.
Schedules all special set court hearings; coordinates with all parties involved to schedule special set hearings which are needed due to length of hearings or special circumstances.
Receives and processes court continuances.
Receives and processes leave of absence documentation for attorneys or other court personnel; receives and processes attorney conflicts, verifying as needed.
Files legal documents with Clerk of Court.
Enters information into court case management computer system to maintain accurate hearing records; enters hearing data into computer to generate daily court calendars. Utilizes programs such as JMS, RMS, Archive RMA and Odyssey to gather date with notes and information regarding the matters to be addressed in Court each day.
Performs customer service functions; provides information/assistance regarding court/department activities, services, procedures, documentation, fees, case status, or other issues; distributes forms/documentation as requested; responds to routine questions or complaints; researches problems/complaints and initiates problem resolution.
Types, prepares, or completes various forms, reports, correspondence, lists, calendars, or other documents.
Receives various forms, reports, correspondence, lists, court calendars, legal documents, laws, regulations, ordinances, policies, procedures, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.
Operates a computer to enter, retrieve, review or modify data; performs data entry functions by keying data into computer; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, case management, calendar, Internet, e-mail, or other programs.
Performs basic maintenance of computer system and general office equipment, such as backing up data or replacing paper, ink, or toner; coordinates service/repair activities as needed.
Maintains file system of various records for the court/department; compiles documentation; prepares and sets up hardcopy files; sorts/organizes documents and files documents in designated order; retrieves/replaces files; shreds/destroys confidential or obsolete documents.
Conducts research of department files, court/legal records, database records, hardcopy materials, Internet sites, or other sources as needed.
Performs general/clerical tasks, which may include making copies, sending/receiving faxes, distributing documentation sorting/distributing incoming mail, opening/processing mail, or processing outgoing mail through postage machine.
Communicates with supervisor, employees, other departments, County officials, Court officials, court personnel, attorneys, realtors, financial institutions, vendors, the public, state/federal agencies, outside agencies, the media, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
Maintains confidentiality of departmental documentation and issues.
ADDITIONAL FUNCTIONS
Provides assistance to other employees or departments as needed.
Performs other related duties as required.
Minimum QualificationsBachelor's degree; supplemented by one (1) year previous experience and/or training involving court procedures, calendar coordination, general office work, customer service, record/file maintenance, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. May require paralegal certification.
